Job DescriptionFront Desk Coordinator Harlem Family Services (HFS) – Harlem, NY Harlem Family Services (HFS) is a non-profit, NYS-licensed Article 31 community mental health clinic providing innovative, low-cost, high-quality psychotherapy services to children, families, and adults. The Front Desk / Administrative Assistant supports clinicians, prescribers, the office manager, and the clinic director—ensuring smooth daily operations and a welcoming, professional environment for all clients. Essential Duties Client Services & Front Desk Operations, • Greet clients and visitors; ensure sign-in and notify clinicians promptly, • Answer incoming calls; schedule and reschedule appointments, • Check voicemail daily; log and communicate non-emergency messages, • Backfill cancellations to maximize clinic utilization, • Verify insurance eligibility; collect copays; issue receipts; document in EHR, • Support SameDayAccess walk-ins with intake and office management, • Distribute PreIntake packets; assist clients with forms; scan into EHR, • Distribute mail, faxes, messages, outreach letters, and referrals, • Distribute MetroCards and maintain PTAR log, • Maintain a calm, safe, welcoming waiting room, and report safety concerns, • Assist with emergency procedures, including calling 911 when needed Administrative & Team Support, • Collaborate with clinicians, prescribers, billing, intake, and office management, • Ensure all clients seen appear on the daily schedule and guest log, • Participate in weekly supervision and interdisciplinary team meetings, • Maintain knowledge of OMH regulations and agency policies, • Monitor office supplies and coordinate ordering, • Maintain a clean, organized, HIPAA-compliant workspace, secure PHI daily, • Provide coverage for other front desk staff as needed, • Perform additional duties as assigned EHR & Insurance Responsibilities, • Enter and update demographic information for billing accuracy, • Perform daily insurance eligibility checks (EPACES and other platforms), • Monitor appointment adherence and reschedule as needed, • Update prescriber schedules in the EHR Skills, Knowledge & Abilities, • Strong interpersonal, communication, and customer service skills, • Ability to engage potential clients and assess appropriateness for services, • Excellent organizational and multitasking abilities, • Proficiency with EHR systems, Microsoft Office, Excel, EPACES, Outlook, SharePoint, and teletherapy platforms, • Knowledge of insurance verification and authorization processes, • Ability to work collaboratively within a multidisciplinary team, • Professionalism, tact, and diplomacy with clients and staff Schedule, • Full-time, 35 hours/week (in-person), • Rotating shifts:, • 8:00 AM – 4:00 PM, • 12:30 PM – 8:30 PM, • Rotating Saturdays: 9:00 AM – 5:00 PM (5-day workweek total) Qualifications & Requirements, • High School diploma required; some college preferred, • Minimum 1 year of experience in a healthcare or behavioral health setting, • Bilingual (English/Spanish or other languages) preferred, • Strong computer literacy and EHR experience Physical Requirements & Work Environment, • Ability to sit, stand, walk, bend, reach, and lift up to 30 lbs., • Office-based work in a community mental health clinic, • Regular computer and technology use, • Occasional travel may be required Compensation & Benefits, • Competitive salary based on experience- $22 hourly ($40.040), • Health, dental, and vision insurance, • 401(k) retirement savings plan, • Commuter benefits, • Life insurance, • Paid vacation and sick leave Health & Safety, • HFS follows all NYC and NYS guidelines for communicable disease safety, • PPE, sanitation, and distancing protocols implemented as required How to Apply, • Applications reviewed on a rolling basis, • Start date discussed during the hiring process
