Job Description Company Description - Full-time Certified Medical Assistant This is an office-based Full-time position located in Paramus, NJ. Bona Dea Gynecology combines conventional and functional medicine to offer integrative gynecological care to women in Bergen County, New Jersey, and the New York Metropolitan Area. We offer in-person and virtual consultations in NJ. Led by Dr. Tracy Verrico — a board-certified Gynecologist with over two decades of experience — our practice provides personalized, root-cause solutions that empower women at every stage of life. Position Overview The Certified Medical Assistant (CMA) plays a critical role in supporting our providers, optimizing clinical workflows, and creating an exceptional patient experience. You will be responsible for clinical preparation, rooming, documentation, and follow-up, ensuring patients receive efficient, compassionate, and seamless care. This role is ideal for someone who is detail-oriented, highly organized, and passionate about women’s health. Performance is measured by clear, results-driven metrics. Key Responsibilities & Metrics for Success 1. Chart Preparation & Accuracy * Prepare 100% of patient charts 48–72 hours before appointments. * Verify clinical notes, labs, imaging, and screening results are updated in Athena. * Ensure all forms and consents are completed accurately (zero charting errors). * Flag clinical red flags for provider review. 2. Clinical Readiness & Supply Management * Clean and restock rooms at the start and end of the day and between patients (100% compliance). * Sterilize instruments and prepare surgical trays and consent forms at least 24 hours before procedures. 3. Patient Portal & Case Management * Review and respond to 100% of portal messages within 48 hours. * Route medication refills per protocol and offer Telehealth when appropriate. 4. Documentation & Order Follow-Up * Follow up on labs, referrals, and imaging orders promptly, ensuring inbox time is maintained under 14 days. 5. Rooming Efficiency * Room ≥95% or higher of patients within 5 minutes of check-in. * Collect and document vitals, review and update medications/medical history, and enter the chief complaint before the provider enters. 6. Performance Tracking & Collaboration * Complete daily scorecard metrics (5–15 minutes per day). * Participate in weekly leadership check-ins to discuss workflow improvements. 7. Patient Experience & Satisfaction * Contribute to a professional and friendly environment with a patient satisfaction rate of ≥90% or higher in communication and professionalism. 8. Team Communication & Flexibility * Collaborate with providers and staff to ensure smooth clinical flow. * Maintain clear handoffs during shift changes and adapt to changing clinical needs. Must-Have Qualifications * Certified Medical Assistant (CMA) certification (required). * Valid driver’s license and reliable transportation. * Strong proficiency in medical terminology and EMR documentation (Athena strongly preferred). * Excellent communication, multitasking, and organizational skills. * Ability to work independently and complete assigned tasks without supervision. Preferred Qualifications * 2+ years of experience in a medical or women’s health practice (preferred but not required). * Experience with EMR systems (list in application). * Bilingual skills (a plus).
