Job Description The Manager of Coding and Billing works directly with the Director of Billing Operations to oversee all aspects of billing, coding, reconciliation, and collections for patient services across Callen-Lorde. This role provides strategic leadership to a growing team, ensures operational excellence, safeguards compliance with all applicable laws and regulations, and serves as a key resource for billing, coding, and insurance verification processes. This role is pivotal in ensuring that Callen-Lorde’s revenue cycle functions operate at the highest level of integrity and efficiency. By combining leadership in billing operations with coding expertise, the Manager of Revenue Cycle and Coding strengthens financial sustainability, supports compliance, and enhances the patient experience. Key Responsibilities Leadership and Team Development • Supervise, coach, and guide billing and coding staff to ensure accurate, timely third-party revenue collection., • Oversee hiring, onboarding, training, scheduling, and performance evaluations., • Capture patient service charges in EPIC; prepare and submit accurate electronic and paper claims., • Process payments from third-party payers and patients; manage monthly patient statements., • Assign accurate ICD-10, CPT-4, and HCPCS codes, ensuring proper sequencing and modifier use., • Review and validate coding for denied claims, reducing errors and optimizing reimbursement., • Monitor accounts receivable, identify trends in denials, and implement corrective strategies., • Conduct timely phone follow-ups and online claim verifications., • Oversee insurance verification processes for new patients and coverage changes., • Address billing and insurance inquiries from patients, staff, and payers with professionalism and empathy., • Provide guidance to providers on coding accuracy and documentation standards., • Ensure adherence to FQHC guidelines, provider scope-of-practice requirements, and payer-specific rules., • Lead effective use of EPIC practice management and Trizetto clearinghouse systems., • Maintain security and integrity of electronic and paper billing records., • Participate in system updates, audits, and optimization initiatives. This is a full-time position with regular business hours (Monday - Friday). Occasional evenings may be required. Callen-Lorde's main site in Chelsea is open Monday through Saturday. This role is primarily a remote hybrid position, but it does require employees to reside in the tri-state area (New York, New Jersey, or Connecticut). Qualifications • High school diploma required; Bachelor’s in Finance, Accounting, or related field preferred., • CPC, CCS, or CBCS certification required, • 5+ years’ medical billing and coding experience, • 4+ years of supervisory experience required, • Ability to lead, train, and mentor teams on complex processes., • Experience with Medicaid, Medicare, ACA plans, and private insurance., • Strong written/oral communication skills and attention to detail., • Experience in an FQHC, Article 28 clinic, or similar healthcare setting, • Knowledge of federal and NY State patient privacy regulations.
