Job Description The Opportunity We’re looking for a motivated, experienced Director of Operations to join our team in the New York City office. Reporting directly to the CFO and Managing Partner, this is a strategic and hands-on role that requires a strong background in operations management, office management, and administrative support. This role ensures that facilities are maintained to the highest standards and in compliance with the firm’s policies, operational procedures, and regulations. The ideal candidate will have strong leadership and expertise in operations management, excellent administrative, organizational, and problem-solving skills, and the ability to collaborate across teams to maintain a functional, positive, and well-maintained office environment. The Director of Operations will have a strong orientation to team collaboration, exceptional discretion and judgment, and the ability to manage competing priorities with empathy and grace. Responsibilities Facilities Management: • Support day-to-day facility operations, including oversight of office security, infrastructure, equipment inventory, shipping, mail, maintenance, and keeping a safe and compliant environment., • Manage the daily office operations by greeting guests, maintaining supplies, answering phones, preparing for and welcoming clients, coordinating office event logistics, managing correspondence, and scheduling regular cleanings and maintenance., • Serve as a point of contact to troubleshoot IT issues and process requests on the ground, partnering with and standing in for IT that is supporting the firm remotely., • Evaluate, select, and manage external contractors and vendors for office services and projects; liaise with contractors, vendors, and other professional services to ensure building systems, technology, and infrastructure are running smoothly., • Support internal and external audits, ensuring compliance with safety and operational standards., • Promote a culture of collaboration, health, safety, and security by enforcing protocols, responding to requests, and planning for ongoing support to ensure business continuity., • Maintain a full-time and on-call presence to support staff and facilities operations., • Foster a collaborative and nurturing team environment through open communication, coaching, advocacy, and success sharing., • Be a resource hub for the team, ensuring access to the training and tools needed to succeed., • Implement office policies, procedures, health, safety, and legal standards and protocols, and ensure ongoing compliance., • Support the team in developing job descriptions, managing job postings, and assisting with onboarding/offboarding hires., • Manage vendor and broker relationships with benefits and insurance providers and support renewals processes., • Review and reconcile the billable and payroll hours report to ensure completion and accuracy before firm invoicing and payroll., • Track and execute cash-designated payments., • Provide administrative support to the paralegal team as needed., • Support special projects that may arise by coordinating closely with staff to identify solutions, improve systems or processes, and add capacity during busy seasons., • Assist in the organization and production of materials throughout the year., • Ship and track IT equipment., • Perform other duties and responsibilities as assigned. Skills, Abilities, and Knowledge Required • Bachelor’s degree in a related field., • 5 to 7 years of experience in facilities management and administrative support, or an equivalent combination of education and experience that provides comparable knowledge and skills., • Experience in facility management and administrative support in a law practice or a similar setting is preferred., • A broad knowledge of HR systems, practices, and people operations is a plus., • Advanced skills in Excel and cloud-based collaboration tools (Box and OneDrive)., • Strong affinity for data and product quality, attention to detail, and commitment to accuracy., • Ability to maintain confidentiality and handle sensitive information with discretion., • Demonstrates exceptional empathy, excellent interpersonal and communication skills, serving as a trusted partner and advisor, with the ability to work collaboratively with a range of audiences., • A self-starter with a 'roll up your sleeves' attitude, unafraid and ready to dive into equally small or challenging projects, willing to go the extra mile and leave no stone unturned., • Ability to effectively prioritize and meet deadlines in a fast-paced environment., • Forward-thinking with a strong strategic mindset and ability to drive change. Compensation and Benefits ChaudhryLaw PLLC offers competitive salaries commensurate with employees’ experience and skills. The starting salary range for this position is $100,000 - $120,000. Additionally, ChaudhryLaw PLLC provides a comprehensive benefits package that includes: • Medical, dental, and vision insurance, • PTO Work Environment The position is completely on-site in our New York Office and is not remote. The in-office schedule for this role is 8:45 am to 5:45 pm Eastern Standard Time, Monday through Friday, with occasional extra work needed during the trials.
