Job Description(Startup) Executive Assistant to the Founder Aevum is developing capabilities to provide enterprise and government customers with on-demand delivery anywhere on Earth and in space. We design, build, and operate heavy-lift unmanned aircraft and the supporting infrastructure required for rapid air cargo, point-to-point logistics, humanitarian response, and orbital payload delivery from runways. Our mission is to democratize access to air and space and deliver time-critical capability when it matters most, using autonomous vehicles and AI to reach those in need faster than anyone else can, including in environments where traditional systems can't operate or won't respond. We are hiring a Senior Executive Assistant to the Founder to keep the founder's dynamic execution environment clean—on the road, on-site, and at home. This role combines travel-ready executive support with personal operations. You will handle day-of logistics, meeting readiness, rapid tactical tasks, and the personal-life coordination that would otherwise interrupt deep work. The goal is simple: protect focus so engineering, flight-critical milestones, and customer delivery move faster. This is not a remote/virtual assistant role and not a calendar-only EA role. It is a high-discretion, high-reliability role that requires excellent judgment, strong presence, and calm execution under pressure. You will coordinate closely with the Founder and interface professionally with high-status stakeholders when needed. Key Responsibilities Travel & Onsite Execution • Plan and execute travel logistics end-to-end (itineraries, buffers, confirmations, contingencies), • Coordinate transportation, check-in/out, access/badges, escorts, and site requirements, • Ensure meeting readiness on-site: room setup, A/V, connectivity, printed materials (when required), backups, • Manage schedule changes in real time (delays, reschedules, surprise attendees, room changes) without escalating unless necessary, • Keep the founder's day clean: minimize interruptions, batch non-urgent items, and protect deep work windows, • Prepare brief, actionable daily packets (schedule, priorities, logistics, what needs approval), • Capture action items and decisions during travel days or on-site work and ensure proper follow-through, • Coordinate personal appointments and recurring obligations (medical, dental, travel docs, renewals, forms, deadlines), • Manage household operations as needed (vendors, maintenance scheduling, deliveries, returns), • Handle personal logistics that reduce cognitive load (events, gifts, key dates, reservations, errands), • Handle sensitive information with disciplined need-to-know practices, • Maintain a professional, warm, composed presence with stakeholders—without overfamiliarity or oversharing, • Maintain basic operational security (device readiness, clean document handling, secure transport of materials), • 4+ years in a high-tempo executive support role with significant ownership (Senior EA, traveling EA, executive operations support, event/production coordination, logistics coordination, or similar), • Demonstrated ability to run travel and day-of logistics under pressure (contingencies, shifting schedules, multiple stakeholders), • Strong written and verbal communication (concise updates, confirmations, calm tone), • High judgment and discretion with sensitive information, • Reliable follow-through: nothing gets dropped, forgotten, or left ambiguous, • Experience supporting a technical founder or executives in aerospace, defense, hardware, robotics, or other regulated/high-scrutiny environments, • Experience working around secure facilities or controlled programs, • Familiarity with A/V and meeting production logistics, • Operational rigor: checklists, confirmations, backups, clean handoffs., • Bias for closure: you finish threads, verify completion and move on., • Thrive in builder environment (labs, hangars, travel days, rapid changes, constraints but do it anyway., • Calm urgency: fast without chaos. Direct and concise communications., • Discretion by default: need-to-know mindset., • Professional presence: warm, composed, socially intelligent. Dress is casual and functional but standards are high.
