Job Description General Description This role combines responsibilities in both Accounts Payable and Accounts Receivable, requiring knowledge of office systems, accounting procedures, and administrative tasks. The Specialist will manage vendor payments, customer billing, collections, and account monitoring while also supporting general office operations. Duties include preparing invoices, processing payments, maintaining financial records, resolving account discrepancies, and handling clerical and administrative support as needed. Work Activities Accounting & Finance • Process and record payments to vendors, suppliers, and subscriptions (Accounts Payable)., • Prepare and issue billing invoices for services or goods, track payments, and follow up on delinquent accounts (Accounts Receivable)., • Monitor, maintain, and reconcile financial/account records., • Operate office equipment such as scanners, computers, phones, and copiers., • Enter, record, and maintain financial and administrative information in written or electronic form., • Perform general office duties including filing, data entry, and handling paperwork., • Answer phones, direct calls, and respond to customer or vendor inquiries., • Provide account notifications to customers and vendors., • Resolve customer complaints, disputes, and payment-related issues with professionalism., • Make timely vendor payments and ensure accurate recordkeeping., • Prepare billing invoices, statements, and customer notifications., • Locate and contact customers with delinquent accounts via phone, email, or mail., • Respond to customer/vendor issues and resolve billing/payment discrepancies., • Maintain organized and accurate financial and account records., • Apply appropriate mathematical methods or formulas to resolve account variances., • Standard workday is typically 8 hours, but flexibility is required., • Must be able to prioritize tasks and adapt to varying workloads., • Accounting Software: QuickBooks, billing, bookkeeping tools., • Office Software: Microsoft Office Suite (Word, Excel, Outlook, etc.)., • Integrity — Honest, ethical, and trustworthy., • Attention to Detail — Thorough and accurate in completing work., • Cooperation & Teamwork — Works well with others; supports cross-training across roles., • Dependability — Reliable, responsible, and fulfills commitments., • Adaptability/Flexibility — Open to change and able to handle a variety of tasks., • Self-Control — Maintains composure and professionalism under pressure.
