Job Description The Role at a Glance The Cash & Admin Lead is the operational heartbeat of the FAO Schwarz Flagship. With privileged access to sensitive financial data, cash systems, and confidential store information, this role carries a high level of trust. Overseeing a team of Cash and Admin Associates, this role sets the standard for accuracy, compliance, and integrity across the systems that support a world-class guest experience. Creating the Magic Lead Cash & Compliance • Own and uphold the standards for cash handling, administrative, and operational processes. Hold the team accountable for consistent execution and compliance across every shift., • Oversee all daily cash management functions, ensuring the team executes reconciliation, deposits, variances, and controls accurately, and stepping in to support or cover when needed., • Ensure daily sales reporting, commission tracking, and bonus data are accurate, timely, and in leaders’ hands, with full ownership of the output and its reliability., • Own the standard for guest resolution and the customer service inbox, supporting the team through complex or sensitive cases and ensuring every guest leaves with a positive impression., • Manage the booking and reservations platform and send sales fulfilment, ensuring the team maintains accuracy, and partnering with Sales, VIP, and Operations teams to protect a seamless guest journey., • Ensure all processes, SOPs, and procedures are documented, current, and audit-ready, maintaining them as living documents, proactively flagging gaps and ensuring they are addressed before they create risk. Lead the Team • Coach and develop a team of Cash & Admin Associates through regular feedback, in-the-moment observations, and structured onboarding. Ensure that new hires ramp up quickly and the team performs to a consistently high standard., • Own POS training for new hires, ensuring everyone who touches a register does so with accuracy and confidence., • Manage uniform inventory and distribution, ensuring the team always has what they need to show up ready and on brand., • Proactively identify training needs across the team and ensure the right support is in place, keeping every team member confident, accurate, and compliant across all key functions., • Recognize strong performance and hold the team accountable when expectations aren’t met, escalating people concerns when needed., • Act as a steady leadership presence for the team, ensuring associates feel supported, prepared, and confident in their day-to-day responsibilities. Run the Operation • Own store-wide scheduling across all teams. Build daily floor plans and weekly schedules that ensure appropriate coverage, compliance with NY Fair Workweek laws, consistent break and lunch cadences, and a clear, confident handoff to the MOD each day., • Lead opening and closing routines, ensuring the store is operationally ready before guests arrive – supplies stocked, cash office set, and the team prepared for the day ahead., • Ensure the cash office runs to standard every day, maintaining routines, controls, and cleanliness so the team is always set up to operate accurately and compliantly., • Keep store systems, technology, and banking processes running smoothly — work with partners to ensure the secure flow of cash, quickly resolve issues, and prevent delays in daily operations., • Support loss prevention by ensuring inventory controls, shrink processes, and security procedures are followed consistently within the team. Drive Business Performance. • Use operational and commercial data to identify risks, inefficiencies, and opportunities, translating what you see into a clear picture for store leadership so the right decisions can be made., • Track cash variance trends, scheduling patterns, and operational performance, proactively adjusting where needed to maintain standards and protect results., • Ensure the store is prepared both administratively and operationally for key business moments such as promotional launches, product activations, and inventory counts, so the team can execute smoothly without interruptions., • Actively protect the business by monitoring risks around cash handling, system integrity, and compliance, flagging irregularities without delay, and maintaining the controls that keep the store safe and trusted. Partner Across the Business • Build strong working relationships across store and office teams, aligning on priorities, sharing relevant information, and ensuring nothing falls through the gaps between teams., • Communicate schedules and operational updates clearly and on time, so every team across the store can plan, prepare, and show up ready., • Act as a key operational contact for store leadership, surfacing risks, gaps, and recommendations before they become problems. What Success looks like You’re doing well in this role when: • The store opens and closes on time, every time: registers balanced, technology functioning, and systems ready before the first guest walks in., • Cash handling is consistently accurate, compliant, and trusted by store leadership., • Schedules are proactive, compliant, and built around the needs of the business — associates know their shifts in advance, coverage gaps are resolved before they become problems, and the MOD has everything they need to run the floor., • Sales reports, commission tracking, and operational data are clean, reliable, and delivered to leaders on time., • Your team is growing in confidence, accuracy, and ownership, with new hires ramping quickly and existing associates performing at a consistently high level., • Guest concerns and escalated issues are handled quickly and professionally., • The business is protected: cash discrepancies are caught early, controls are followed consistently, fraudulent bills are identified, chargeback requests are actioned with timeliness to reduce currency loss, and risks are escalated before they become problems., • You are seen as a calm, trusted, and knowledgeable operational partner by store leadership and the wider team. What you’ll bring You don’t need to have done this exact role before, but you do need to lead with precision, care, and presence. • 2+ years of leadership experience in retail, hospitality, or a similarly fast-paced operational environment, • Strong experience with cash handling procedures, reconciliation, and compliance controls., • Confidence managing store-wide scheduling for large, diverse teams, including legal break compliance and coverage planning., • Strong written and verbal communication skills: professional in email, clear in conversation, and confident collaborating across multiple teams., • Confidence handling sensitive, confidential, or high-trust information., • A solutions-first mindset — someone who acts without being asked and uses good judgement to know when to escalate and when to resolve., • Flexibility to work across days, evenings, weekends, and peak retail periods., • Ability to stand for extended periods and lift up to 25 pounds.
