We currently have four open positions: HR, Accounts Payable, Purchasing Associate, and Executive Administrative Coordinator. Human Resource Staff: • Assist with posting jobs and screening candidate resumes., • Schedule interviews and communicate with job applicants., • Help coordinate the onboarding process for new hires., • Maintain and update employee records and HR databases., • Prepare HR-related documents as needed., • Respond to basic employee inquiries regarding HR policies and procedures., • Perform general administrative tasks such as filing, photocopying, and data entry. Accounts Payable: • Assist with reviewing and entering invoices into the accounting system., • Help match invoices with purchase orders and receiving documents., • Support basic payment preparation via check, ACH, or wire transfer., • Maintain organized digital and paper invoice records., • Communicate with vendors regarding payment questions or missing documents., • Help resolve basic discrepancies between invoices and supporting documents., • Support vendor statement reconciliation under supervision., • Assist with general clerical tasks such as filing, scanning, and data entry. Purchasing Associate: • Generate purchase orders based on approved requisitions., • Communicate with vendors to obtain quotes, place orders, and track shipments., • Maintain accurate records of purchase orders, vendor information, and pricing., • Resolve discrepancies with vendor deliveries and invoices., • Maintain organized purchasing files and documentation. Executive Administrative Coordinator: • Maintain office supplies inventory and place orders as needed, • Coordinate maintenance of office equipment and manage vendor relationships, • Assist with scheduling meetings, appointments, and conference room bookings, • Support onboarding of new employees with desk setup, access, and materials, • Maintain office cleanliness and organization in collaboration with facilities staff, • Provide administrative support such as data entry, filing, and document preparation, • Projects assigned
