    Front Desk / Clinic Operations Coordinator Westfield, NJ | Full-Time | $20–$30/hr (Based on Experience) About AcuVision AcuVision Clinic is a specialty holistic eye care practice serving patients nationwide since 2000. We treat complex and degenerative vision conditions using an integrative model combining Acupuncture, Traditional Chinese Medicine, Functional Medicine, and Naturopathic therapies. Our patients often travel significant distances for care. Precision, professionalism, and reliability matter. Who This Role Is For We are looking for a steady, organized, and dependable professional to manage front desk operations and support daily clinic flow. This is not a passive receptionist role. It is an operations-driven position that keeps a high-performing clinic running smoothly. You should be: • Highly organized and detail-oriented, • Calm under pressure and able to multi-task, • Reliable and punctual, • Clear and professional in communication, • Comfortable handling volume without becoming overwhelmed, • Coachable and receptive to feedback Experience in hospitality, high-volume service, medical offices, or structured environments is strongly preferred. If you thrive in environments where standards are high and systems matter, this may be a great fit. Responsibilities • Greet and check in patients professionally, • Manage scheduling and appointment flow, • Answer phones and respond to emails, • Process payments and maintain accurate records, • Coordinate daily clinic logistics, • Track inventory and restock supplies, • Maintain a clean and organized clinical environment Qualifications • Strong organizational skills, • Comfort with computers and scheduling systems, • Excellent verbal and written communication, • Ability to stay focused and composed during busy clinic hours, • Professional presence and accountability Healthcare experience is preferred but not required. Operational maturity is required. Our high-quality products are developed by our in-house R&D team and manufactured in the USA. Key Responsibilities: This is an in-office position. Lead Customer Service Support Adhere to all SOPs for Customer Support & Office Administration Main point of contact for all incoming and outgoing customer calls to ensure timely communication and support. Process and communicate new orders to the appropriate Sales team upon receipt. Generate quotes for shipping rates for customer inquiries and prospects to ensure timely service. Coordinate logistics for inbound and outbound shipments. Enter customer orders and verify customer price. Verify customer profile in the accounting system and in Customer Relationship Management system. Communicate and updating customer/Sales team on order status. Process all Sample Requests, coordinate with Sales & arrange shipment. Office Administration: Maintain all supplies necessary to support office operations. Collect supporting documents for sales order shipments. Adhere SOPs for Office Administration to standardize repetitive job functions as needed. Qualifications: Bachelor’s Degree preferred or 4 years of work experience in Customer Service. Strong communication and interpersonal skills. Ability to manage time effectively and multi-task in a fast-paced environment. Detail-oriented with strong organizational skills. Ability to work independently. Proficient in Microsoft Office. Proficient in using Zoho CRM software or similar CRM software. Proficient in using Sage accounting software or similar accounting software.
