Position Summary Responsible for the oversight and management of payroll related functions across all locations, accurate and timely multi-state payroll processing, compliance with federal/state/local payroll laws, and maintenance of employee transactions/ records. Overview of Responsibilities Payroll Processing & Accuracy * Review and verify weekly payroll timesheets, tip distribution, attendance, hours worked, pay adjustments, and PTO for assigned locations * Ensure employee payroll is processed accurately and on time each week. * Reconcile discrepancies and implement corrective payroll actions as needed. * Oversee set-up of payroll for new hires and terminations. * Manage salary changes, bonuses, deductions, vacation payouts, and benefits adjustments. * Review and process manual checks, stale checks, and stop payments as necessary. Reporting & Compliance * Generate, analyze, and distribute payroll-related reports for operations. * Maintain payroll records and timesheet data in compliance with retention laws. * Ensure payroll processing is in compliance with all federal, state, and local laws. * Support payroll and timesheet audits, year-end processing, and W-2 preparation. * Assist with tax setup, calculations, deductions, and IRS filings. * Manage 401(k) contributions, loan payments, and related processes. Collaboration & Support * Partner with operations to address required payroll corrections. * Respond to payroll inquiries from employees in a timely manner. * Interface with internal divisions to ensure end-to-end process efficiency. * Conduct payroll-related training and mentor team members as needed. * Provide support on payroll accounting, transactions, reporting, and audits. * Partner closely with HR to ensure seamless processes and enhance the overall employee experience. System Maintenance & Improvements * Maintain payroll system data and ensure accuracy of functionality. * Manage and process inter-company changes (classifications, transfers, pay codes). Generate time & attendance and other system reports to detect discrepancies. * Support continuous process improvements to streamline payroll operations. Additional Duties * Perform other reasonably assigned tasks, projects, and responsibilities as needed. Minimum Qualifications * 2 years of payroll management experience within the hospitality or related industry required * Must have experience handling multi-state payroll and compliance for non-exempt, exempt, non-tipped, and tipped occupations * Associates Degree in Human Resources, Accounting, or other related field preferred * Must have prior payroll system, timekeeping, and HRIS experience * Professional demeanor and strong work ethic * Able to deliver effective results, meet deadlines and targets * Strong verbal and written communication skills * Ability to problem solve, analyze, good mathematical skills and be able to multiple tasks in a fast paced environment * Exhibits accuracy when working with details * Ability to handle highly confidential data * Good judgment & decision-making skills * Strong organizational skills * Ability to read and write the English language, conduct business related mathematics and analyze data as required * Ability to write routine correspondence * Proficient in Microsoft Excel, Word, and Power Point and experience with HR/Payroll database systems About Us Wine, food, and live entertainment collide at City Winery to create a dynamic and incredibly unique workplace.
