The Director, Corporate Operations & Sample Management leads sample management, showroom support, mailroom operations, and FedEx account oversight across five company locations. This role ensures samples are received, inventoried, stored, shipped, tracked, and distributed accurately to support Sales, Product, Marketing, Ecommerce, International, and Executive teams. The Director is responsible for creating consistent processes, service standards, inventory controls, shipping controls, and team accountability across all locations. This position reports to the Co-President and manages a team of 4. This position is based out of our Greenwich, CT office, with travel to our NYC showroom as needed. Work Environment: This position operates in office, showroom, sample storage, mailroom, and corporate operations environments. Occasional early mornings, evenings, or weekends may be required based on market weeks, sales meetings, shipments, office moves, or business needs. 5 days per week on site is required for this position. Responsibilities: Sample Management & Showroom Support • Oversee the full sample lifecycle and maintain accurate records across all sample categories, including receiving, inventory, storage, distribution, shipping, and tracking., • Ensure sample libraries, storage areas, presentation spaces, conference rooms, showrooms, and associated facilities are organized, safe, functional, and business-ready., • Lead sample preparation and cross-functional coordination for shows, market appointments, sales meetings, executive reviews, and presentations while improving inventory accuracy, space usage, flow, and accountability. Corporate Operations, Mailroom & Shipping • Lead mailroom, courier, UPS, FedEx, and internal distribution operations across locations, including shipping procedures, documentation, supplies, account usage, billing, compliance, and cost controls., • Source and manage vendors and service providers; review bids, negotiate pricing, coordinate approvals, and ensure maintenance, repairs, construction, and facility projects meet budget, timeline, and company standards., • Partner with Finance, Accounts Payable, Facilities, Office Services, HR, IT, building management, and department leaders to resolve issues and support office moves, renovations, showroom setups, seasonal resets, and presentation readiness. Multi-Location Leadership • Provide operational oversight across five company locations, establishing consistent SOPs, service standards, reporting routines, and clear ownership., • Monitor workload, staffing, inventory, space utilization, shipping needs, and service issues to maintain effective operations at each location., • Travel between locations as needed to support business events, inspect operations, coach teams, and resolve issues. People Management • Directly manage one Manager and three Sample Managers, setting clear expectations for accuracy, responsiveness, professionalism, safety, service, and cost awareness., • Create schedules, coverage plans, location assignments, and event support plans to meet business needs., • Coach and develop the team through regular feedback, training, accountability, and a service-oriented culture. Process, Controls & Reporting • Develop and maintain SOPs for sample management, storage, distribution, shipping, mailroom operations, FedEx account usage, supply ordering, and billing review., • Implement tracking tools, audits, reporting, and organized recordkeeping to improve inventory accuracy, shipment accountability, cost visibility, and billing follow-up., • Ensure compliance with company policies, safety standards, shipping requirements, and account usage procedures. Requirements: • Bachelor’s degree preferred, or equivalent combination of education, training, and experience., • 8+ years of experience in operations, sample management, showroom operations, office services, logistics, distribution, retail operations, or related field., • 3+ years of people management experience., • Experience managing inventory, sample rooms, showrooms, shipping/receiving, mailroom operations, or physical product flow., • Experience overseeing corporate shipping accounts, carrier billing, or shipment controls preferred., • Strong organizational, communication, follow-up, and problem-solving skills., • Ability to manage multiple locations, priorities, deadlines, and internal stakeholders., • Proficiency with Microsoft Office, especially Excel, Outlook, and Teams., • Ability to travel between company locations as needed. Physical Requirements: This role requires regular walking, standing, sitting, reaching, bending, lifting, and moving samples, cartons, and supplies. The employee must be able to regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move heavier items with appropriate assistance or equipment.
