This individual will play a key role in maintaining compliance with state regulations, managing client and employee files, and fostering a supportive and organized workplace. Key Responsibilities: • Manage day-to-day administrative tasks including answering phones, scheduling, and responding to emails., • Oversee client intake process, including collecting required documentation and maintaining accurate records., • Supervise office staff, providing guidance, training, and support as needed., • Ensure compliance with state and agency policies (including DDA regulations)., • Maintain employee files, background checks, training documentation, and certifications., • Coordinate caregiver/client scheduling and match appropriate staff to clients based on needs and availability., • Manage timesheets, attendance, and assist with payroll processing., • Order and manage office supplies and medical equipment inventory., • Serve as liaison between clients, families, staff, and healthcare professionals., • Prepare reports, maintain filing systems, and support audits and inspections., • Support hiring, onboarding, and training processes for new employees. Qualifications: • High school diploma or equivalent required; Associate’s or Bachelor's degree preferred., • Minimum of 2 years of administrative or office management experience, preferably in a healthcare or home care setting., • Knowledge of DDA, Medicaid, or healthcare regulations is highly desirable., • Strong organizational and multitasking skills., • Excellent communication and interpersonal skills., • Proficient in Microsoft Office Suite and scheduling software., • Ability to maintain confidentiality and manage sensitive information professionally., • Detail-oriented with strong problem-solving abilities. Job Description Job Overview: We are seeking a motivated and detail-oriented Assistant Project Manager to join our Critical Technologies team. This role will involve supporting Project Managers with the day-to-day oversight of multiple projects, ensuring smooth setup, compliance, and documentation management. You will collaborate with site technical teams to meet personnel needs, resolve issues, and report on project progress. The position includes regular site visits, management of subcontractor and mechanical installation progress, and participation in project material logistics and procurement. Key Responsibilities: • Maintain project documentation, including compliance records, schedules, daily reports, labor reporting, change orders, and quality control., • Conduct regular visits to remote sites., • Monitor subcontractor and mechanical installation progress, providing reports to management., • Develop change orders based on bidding and sales processes, ensuring alignment with company policies., • Participate in and facilitate project procurement, material transmittals, and logistics with internal teams and subcontractors., • Attend and record minutes of project meetings, delivering updates to the management team., • Track project schedules and ensure project milestones and personnel needs are met., • Support the site technical lead(s) in resolving project snags and meeting personnel requirements., • Analyze data, trends, and reports for continuous project improvement. Qualifications: • 1-5 years of experience in project management, preferably in HVAC or mechanical systems, • Understanding of PM 101 principles., • Proficient in Microsoft Office Suite, • Able to read project schedules and create custom Gantt charts., • Familiarity with project management and bidding processes., • Ability to interpret Bills of Materials (BOMs) and control drawings., • Experience with material procurement, logistics management, and project scheduling., • Understanding of contract negotiation and administration., • Competency in identifying project critical paths and labor scheduling., • Strong written and verbal communication skills, including report writing at a collegiate level. Preferred Skills: • Experience with Smartsheets., • Strong data analysis skills especially Python., • Understanding of commissioning processes and HVAC installation procedures., • Understanding of contract negotiation and administration., • Knowledge of project "L" levels and best practices in materials management.
