Job Description Job Description City Harvest is New York City’s first and largest food rescue organization. We rescue nutritious, high-quality food that would otherwise go to waste and deliver it for free to hundreds of food pantries, soup kitchens, community partners, and our own Mobile Markets® across the five boroughs. In response to the urgent and ongoing demand for food assistance and a commitment to sustainability, this year we will rescue more than 86 million pounds of food and deliver it to New Yorkers experiencing food insecurity. PRIMARY PURPOSE: Responsible for assisting the Transportation Team with organizing the company logistics and transportation-related activities and expanding on a culture of safety. Ensure that our fleet of trucks is operational, maintained and safe. Collaborate with third party vendors to correct or complete any equipment defects, damage, or regularly scheduled maintenance. This extends to additional equipment like electric pallet jacks, hand trucks, and safety supplies. Support drivers by responding to their concerns and questions and regularly participating in driver ride-a-longs. This position will contribute towards departmental goals and maintaining compliance with union work rules, policies, procedures and government regulations. In collaboration with Transportation Managers, supervise the transportation department employees, (drivers), and ensure compliance with DOT regulations, and achieving the goals of the organization strategic plan. Recommend, develop, and implement alternative operating plans as necessary in an efficient and effective manner. Improves productivity by analyzing all key performance indicators (KPIs), and developing and implementing strategies and tactics for improvements, (i.e., on-time performance). Work closely with other stakeholders to address all customer service-related concerns. • Promote safe work activities by conducting safety audits and attending company safety meetings. Implement processes and procedures that promote safe practices, improve vehicle safety and reduce damage to equipment., • Interface on a regular basis with multiple vendors. Rental companies, equipment repair, routine maintenance, fuel, fleet, and equipment., • Knowledge of and ability to maintain in safe working condition trucks, tractors, trailers, reefers, liftgates, and other equipment., • Support and adhere to all DOT and OSHA regulations pertaining to our drivers and fleet., • Responsible for fleet safety, service, and operating costs., • Use best practices, KPIs, technology, observation, mentoring, and coaching., • Responsible for input, monitoring, evaluation & reporting of transportation metrics, • Navigate and utilize Samsara Transportation Management System Platform., • Conduct site visits with community partners, (agencies and donors), and other vendor partners as needed., • Record, track and submit for timely payment all tolls and tickets., • Work schedule will include weekend, early morning and evening shifts and is in person at FRC (Food Rescue Facility)., • Assist with dispatching drivers to ensure workforce delivers and picks-up on time and minimizes the use of overtime, • Print, track, and reconcile Driver’s route and manifest daily, • Work collaboratively with the Supply Chain Command Center to update Daily Dispatch Report schedule and routing. Ensuring all driver and trucking information is up to date and equipment is readily available., • Conduct observation rides and road inspections of drivers while on route., • Investigate all accidents, ensure all required documentation is completed and filed accordingly. Ensure any needed corrective actions are completed., • On-going evaluation of routes to ensure we are achieving the optimal balance of speed, cost, quality, service and sustainability by continuously analyzing KPI’s and developing and implementing strategies and tactics for improvement., • Collaborate with the Director of Transportation on the development or revising department SOP; implement processes and procedures that promote safe practices, improve vehicle safety and reduce damage to equipment., • Support Transportation Managers with labor relations with Local 804; enforce collective bargaining agreement as written and serve as the frontline representative for City Harvest. Investigate, evaluate, report and document corrective actions as needed; troubleshoot and resolve actual and/or potential transportation related problems., • Investigate, evaluate, report and write corrective actions as needed; troubleshoot and resolve actual and/or potential transportation related problems., • Support (25-35) drivers, evaluate the drivers’ performance, observe and develop drivers through one-on-one coaching, training on policy and procedures, and effective time management. Manage work activities with internal and external partners to assure the achievement of assigned objectives. Develop work plans and schedules. (KB- Interfaces on a regular basis with multiple vendors Rental companies, equipment repair, fuel, fleet and equipment) (DB- Quality of service metrics: responsible for input, monitoring, evaluation & reporting of transportation metrics) POSITION REQUIREMENTS: Experience: Minimum two to four years relevant work experience. Related Skills or Knowledge: • Must have strong transportation and operations management experience; knowledge of DOT regulations is preferred., • Experience working with third party transportation vendors particularly with truck repairs, maintenance and fueling., • Strong written and verbal communication skills are important., • Must have excellent interpersonal skills and the demonstrated ability to manage internal relationships with various departments., • Must be able to manage complex situations quickly and professionally and exhibit a sense of urgency while focusing on results., • Must be self-motivated and a team player., • Familiarity with Microsoft Office and proficient in Excel., • Ability to work a flexible schedule is required, (i.e., early mornings, evenings, and some weekends) Regularly required to speak clearly and hear the spoken word well. Regularly required to utilize near vision ability to read data and documents, including spreadsheets and reports, in printed form and on computer screens. Regularly required to return to work in emergency situations on an on-call basis. Regularly required to move fingers, wrist, arms, legs and feet in a repetitive manner as necessary to operate tools and equipment.
