Job Description We don't need someone to check boxes. We need someone who builds the boxes, automates who checks them, and then builds a dashboard that shows whether the boxes got checked. The Carol Royse Team is a top-producing real estate team in the Phoenix metro area, powered by Real Estate OS (REOS) — a custom-built technology ecosystem of 25+ interconnected tools. We're looking for an Operations & Systems Coordinator to be the CEO's right hand: building systems, running reports, training the team, and making sure nothing falls through the cracks. This role sits at the intersection of operations, marketing, and technology. You'll build email campaigns for one hour, set up a department spreadsheet the next, train a VA on a new workflow after lunch, and review an agent's accountability scorecard before you leave. If you thrive on variety, love building systems, and get genuinely annoyed when things aren't organized — this is your role. Compensation: $40,000 - $55,000 yearly Responsibilities: What You'll Own Systems Building & AI Tools • Work directly with the CEO to build and refine internal systems across the REOS platform, • Update and maintain AI-powered tools, including our Telegram assistant (Clawdbot) — writing prompts, configuring workflows, and improving the UI/UX of internal AI tools, • You don't need to be a developer. You DO need to be comfortable writing AI prompts, configuring no-code/low-code tools, and learning new platforms fast Email Campaigns & CRM • Build, test, and optimize drip email sequences, newsletters, event invitations, and nurture campaigns across buyer, seller, investor, and sphere segments, • Configure and maintain our Lofty CRM: smart plans, lead routing, tagging systems, pipeline stages, and automated follow-up sequences, • Own the monthly touchpoint calendar for 5,000+ contacts — making sure every segment gets the right message at the right time Presentations & Reports • Build weekly team meeting presentations (PowerPoint/Google Slides) with data, updates, and action items, • Create and maintain department spreadsheets — tracking KPIs, production numbers, pipeline metrics, and financial summaries, • Generate weekly and monthly reports for leadership; deliver clear, data-driven summaries the CEO can act on in 60 seconds Listing Launch OS & Transaction Support • Ensure every listing follows the Listing Launch OS playbook: every touchpoint, every campaign, every checkpoint is executed on time, • Coordinate with the Transaction Coordinator to make sure nothing falls through the cracks from contract to close, • Build and maintain checklists and workflows so the listing process runs the same way every time, regardless of which agent is on the file Team Training & Accountability • Train VAs and admin staff on their roles, systems, and workflows — create SOPs and training documentation they can reference independently, • Hold departments accountable to their KPIs: daily check-ins, weekly reviews, and flagging issues before they become problems, • 1–3 years in operations, marketing, or systems coordination (real estate industry is a strong plus, not required), • Hands-on experience with at least one CRM platform (Lofty, Follow Up Boss, KVCore, HubSpot, GoHighLevel, Salesforce — any of these count), • Strong email campaign skills: you can write subject lines that get opened and build sequences that convert, • Advanced spreadsheet ability — you can build a tracker, write formulas, create pivot tables, and turn raw data into a clear report, • Presentation building skills — you can take a pile of data and updates and turn it into a clean, professional slide deck quickly, • Comfortable with AI tools and prompting — you've used ChatGPT, Claude, or similar tools and understand how to write effective prompts to get useful output, • Self-starter who builds solutions without being told there's a problem, • Strong communicator who can train someone on a new system, hold them accountable when they don't follow it, and still maintain the relationship At the Carol Royse Team, we’re passionate about excellence — in how we serve clients, support our agents, and show up for our community.
