Job Description Job Summary: Oversees front office reception and administrative operations while ensuring the office runs efficiently and professionally. Serves as the first point of contact for visitors and provides administrative and operational support to the executive office and Sales & Marketing team, including scheduling, office coordination, and internal support. Reports To: · Chief Sales Officer Essential Functions: · Serve as the primary front office receptionist, greeting and assisting visitors in a professional and welcoming manner · Manage incoming phone calls and emails, directing inquiries to appropriate staff · Manage calendars and schedule appointments, meetings, and conference rooms · Provide direct administrative support to executive leadership and Sales & Marketing teams · Coordinate meetings, prepare materials, and assist with presentations, reports, and documents · Manage office supplies inventory and place orders as necessary · Receive, sort, and distribute incoming mail and deliveries; manage outgoing mail · Coordinate travel arrangements and expense reporting as needed · Coordinate sporting event allocations and related scheduling or distribution needs · Design, implement, and maintain office policies, procedures, and standards · Support office budgeting, vendor coordination, and basic expense tracking · Provide general administrative support including research, data entry, and special projects · Contribute to team efforts by accomplishing related tasks as needed Knowledge, Skills, and Abilities: · Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and handle vendor contracts, among other tasks · Organization and the ability to multitask to complete a wide variety of tasks · Flexibility to help them adjust to new tasks should company or office needs change · Strong interpersonal skills to interact positively with all employees, vendors and contractors · Attention to detail to ensure tasks are completed thoroughly and correctly Education and Experience: • 2-5 years of work experience in an administrative/office management role, • Experience supporting executives or Sales & Marketing teams preferred Work Environment and Physical Demands: • The employee is regularly required to talk on the phone, face to face, and use the computer or other activities normal to an office environment., • Frequent interaction with others., • Completion of duties must be done within an allotted time which may create a sense of time pressure to meet deadlines.
