Position Summary The Receptionist & Administrator is responsible for providing administrative support at a professional level to ensure smooth operations within the organization. This role includes administrative functions with the broader operations and management teams at Walton. The Receptionist & Administrator position requires necessary teamwork skills to work effectively with management and staff to accomplish the strategic goals of the organization, and as such the position requires discretion in handling confidential, sensitive, and timely information. A successful candidate for this position will be required to work in the office from Monday through Friday, which emphasizes the importance of in-person interactions and collaboration within the team. Essential Duties and Responsibilities The essential functions include, but are not limited to the following: • Greet and welcome internal and external guests in a positive and professional manner, • Take messages and communicate messages in a timely manner to the appropriate department or individual, • Ensure reception and kitchen areas are clean, tidy, and presentable throughout the entire day, • Order and manage inventory for office and kitchen supplies, • Manage incoming and outgoing packages and deliveries; prepare FedEx and USPS shipping labels, • Receive, scan, and distribute daily mail, • Book boardrooms through Outlook ensuring no overlap or conflicting appointments, • Assist in the coordination of internal and external events, • Prepare boardrooms for meetings and events, • Order breakfast, lunch and/or dinner and set up meals for company events, employees, and/or clients, • Liaise with building maintenance on any issues, • Assign access cards for internal employees and visitor badges for external guests, • Perform miscellaneous administrative duties such as filing, scanning, and photocopying, • Provide support for basic administrative tasks and assist with special projects as needed, • Assist with the onboarding process, including preparing new hire packets, scheduling orientations, and collecting required documentation., • Maintain employee records and ensure HR files are complete and compliant with company policy and applicable laws., • Support benefits administration by distributing materials, assisting with enrollment, and answering general employee questions., • Assist with scheduling interviews and coordinating recruitment activities., • Help with HR events such as trainings, employee engagement activities, and recognition programs., • Maintain confidentiality of sensitive employee information. Minimum Qualifications (Knowledge, Skills, and Abilities) • Friendly and professional demeanor with strong interpersonal skills, • Excellent written and verbal communication skills, • Although not required, verbal fluency in Cantonese and/or Mandarin would be a strong asset, • Detail orientated and strong organizational skills, • Good problem-solving skills, • Ability to multi-task and work in a fast-paced environment, • Proficient with Microsoft Office Suite (Excel, Word, Outlook, Microsoft Teams) and basic computer skills, • Adaptable to change and ability to learn new skills, • Ability to work independently and as part of a team, • Must have a valid driver’s license, • This position is required to be present in the Scottsdale office 5 days a week Why Join Walton Global?
