Job Description Position Title: Office Manager Reports to: Executive Administrator Department: Administration Location: Phoenix, AZ Position Type: In-Office Classification: Full-Time; Exempt; Salary Summary / Job Objective: As the Office Manager for Simplicity West, you will be the face of the company at the front desk and the primary “go-to” person for keeping our workplace running smoothly. You’ll lead the daily flow of the office, from managing deliveries and keeping our kitchen and supplies fully stocked. You will also take the lead on meeting setups, troubleshooting equipment, and facility repairs. Beyond daily operations, you’ll partner with HR to welcome new hires and plan company events that keep our team culture strong and engaging. Primary Responsibilities: · Perform core receptionist duties, including greeting visitors, directing phone calls, and managing both incoming and outgoing mail and deliveries. · Proactively monitor, research, and restock office and kitchen supplies; identify cost-saving opportunities and manage relationships with advantageous suppliers. · Partner with HR to facilitate the hiring process, manage new hire orientations, and ensure a seamless setup for all incoming staff. · Administer office access (creating and terminating credentials) and coordinate with IT on equipment security; maintain office policies and safety protocols to ensure a secure working environment. · Lead the setup for in-person meetings, including room configuration, AV troubleshooting, and meal/catering coordination. · Manage all incoming and outgoing mail, including daily deliveries, and package shipping, ensuring everything is tracked and organized. · Serve as the primary “go-to” for troubleshooting, maintenance, and repairs to ensure equipment and facilities run smoothly. · Maintain timely communication with building management and external vendors regarding office services, repairs, and facility concerns. · Plan and execute office activities and special events that drive employee engagement and support the company’s internal culture. · Other duties as assigned. Qualifications: · Minimum of 2 years of administrative experience within an office setting or comparable experience · Insurance/Financial Services industry experience preferred, but not required · Strong computer skills (proficient in PowerPoint, Word and Excel) · Proficient in Google Workspace and Gmail a plus Core Competencies: · Clearly and effectively communicating both verbally and in writing. · Prioritizes and multi-tasks in fast-paced settings, delivering timely, quality results with minimal errors. · An entrepreneurial self-starter who operates independently, requiring minimal directive to exceed goals. · Proven ability to handle sensitive and confidential information with discretion and professionalism. · Possesses an honest, trustworthy demeanor that maintains optimism to effectively boost team morale.
