The Administrative Assistant, Reception’s primary responsibilities include greeting/welcoming visitors and directing them appropriately, notifying personnel of visitor arrival, informing visitors by answering or referring inquiries, handling incoming calls and ensuring a clean a tidy office space. Clerical duties include sending and receiving email, data entry, scanning documents, mail management, and making copies. The ideal candidate has outstanding communication, interpersonal, customer service and organizational skills. This position requires the ability to handle a large volume of walk-in traffic concurring with scheduled appointments, ability to work with little to no supervision, have a team-oriented attitude and the ability to organize and prioritize work assignments. The Administrative Assistant, Reception will provide additional administrative support to program supervisors and managers as requested or needed. The Administrative Assistant, Reception is a non-exempt position with a classification of “Administrative.” Primary Job Responsibilities Reception Duties • Greet all visitors to the office., • Provide back-up to automated attendant (phone system); retrieve voicemails left on general mailbox and distribute to correct staff member., • Opening and closing the office responsibilities and duties., • Assist in the daily briefings by making photocopies and directing clients to correct location., • Provide clients with low level assistance utilizing company software programs., • Maintain community coordinated entry info resource list for handing out to visitors., • Order lunch/meals for all company meetings., • Maintain kitchen duties., • Prepare conference rooms for daily use and after each use., • Initiate birthday cards and treats for staff birthdays when Communications Coordinator is unavailable. Administrative Duties • Assist with terminated files in the breakdown and entering data into tracking spreadsheets., • Performs filing and copying., • Process daily outgoing mail, receive mail and distribute., • Protects organization's value by keeping information confidential., • Must be proficient in utilizing Microsoft Office including word, excel and outlook., • Proficiency in Microsoft Office 365 applications including SharePoint, OneDrive, Teams, Planner, Outlook, Word, Excel, etc., • Strong organizational skills with aptitude for project management and multitasking to manage multiple concurrent projects., • Demonstrated high level of skill with interpersonal relationships and communication., • Strong sense of ownership of work processes and outcomes., • Excellent people skills and the proven ability to work well with a wide range of personalities., • Ability to think strategically and tactically to accomplish goals., • Ability to manage change while working as part of a team., • Team Member will have unrestricted access to sensitive information that may include PII and PHI, which requires adherence to HOM Security and Privacy Policies., • Team Member may use or disclose PII or PHI through the course of their Financial, and Human Resources duties listed above. All use and disclosure is subject to procedures outlined in Section 1.10 of the HOM Privacy Policies., • Demonstration of performance and attributes contained within the four (4) focus areas of HOM Inc.’s Competency Model; Emotional Intelligence, Expertise, Ethics, and Excellence., • Current Arizona Driver’s License., • Current Automobile Insurance., • Understanding and commitment to “Housing First” principles in ending homelessness., • High School Diploma or GED Equivalent.
