Job Description Department: Office of Organizational Performance – Information Technology & Facilities Reports To: Chief Information & Infrastructure Operations Officer (CIIOO) Location: Dallas, Texas – ABOG National Center for Certification and Continuing Education (Uptown); 100% on-site work. FLSA Status: Non-Exempt Summary: The Receptionist Administrative Assistant serves as the first point of contact for visitors and callers, providing professional front desk support and performing a variety of administrative tasks to ensure smooth office operations. This role requires excellent communication skills, attention to detail, and the ability to multitask in a dynamic environment. Essential Duties and Responsibilities: Front Desk & Visitor Management • Greet and assist guests, clients, and staff in a professional and courteous manner., • Answer and direct incoming calls as needed, pending support requested by external callers dialing “0” for operator assistance., • Work with and support front-line staff during high interaction/high volume periods, e.g., ahead of continuing certification application deadlines and requirements deadlines, to advance positive experiences by all stakeholders., • Order and maintain office and breakroom supplies for the organization., • Ensure orderliness and organization of common areas such as the 1st and 4th floor lobby areas, breakroom, and office supply/mail room., • Monitor for and distribute packages and incoming mail; perform outgoing mail and any package shipping duties. Work with staff, including Finance Department, for mail responsibilities associated with incoming and outgoing checks or other associated financial correspondence., • Help support coordination of logistics and other details as needed for internal meetings and staff functions., • Assist as needed in scheduling and coordinating meetings and appointments for the Chief Information & Infrastructure Operations Officer (CIIOO)., • Prepare and distribute meeting agendas, minutes, and related documents for the Chief Information & Infrastructure Operations Officer (CIIOO)., • Maintain and organize physical and digital filing systems., • Support the organization as needed and directed during in-person exam weeks to ensure appropriate coverage and successful exam delivery., • Demonstrable Proficiency: Candidates may be required to demonstrate proficiency in essential skills during the interview process (e.g., work samples, analysis exercise, and communication brief)., • High school diploma or equivalent; associate or bachelor’s degree preferred., • 2+ years of experience in a receptionist or administrative support role., • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)., • Strong verbal and written communication skills., • Excellent organizational and time management skills., • Professional demeanor and customer service orientation. The following essential functions describe what must be accomplished and may be performed with or without reasonable accommodation: • Primarily sedentary computer-based work; frequent keyboard/mouse use and on-screen analysis., • Regular verbal and written communication in meetings and documentation; ability to present findings., • Occasional standing/walking/meeting facilitation; occasional lifting/carrying of typical office items (up to 20 lbs.). WORKING CONDITIONS Typical professional office/administrative environment with low noise levels; hybrid schedule with 60% in-office presence (role-specific positions that align with the nature of their work) and periodic travel for meetings/conferences. Work involves handling sensitive information under strict confidentiality, data governance, and security protocols.
