Job Description Full-Time Executive Assistant / Real Estate Operations Manager Location: Stamford, CT based (can be in office, or at home with some time on the road around Fairfield County) Team Size: Small, high-performing real estate team of 3 agents (looking to grow) Compensation: Competitive salary + bonuses based on performance Start Date: Immediate About Us We are a top-performing residential real estate team serving primarily Stamford & Norwalk, although we cover all of Fairfield County, and the surrounding markets. We operate at a high level, manage a strong pipeline of listings and buyers, and pride ourselves on delivering concierge-level service. As we continue to grow, we’re looking for a full-time Executive Assistant / Admin who can take ownership of operations, streamline systems, support listings and transactions, and help drive the team toward continued success. Position Overview This is a full-time role for someone who is exceptionally organized, detail-driven, tech-savvy, and proactive. You will be the backbone of the business—ensuring that every listing launches perfectly, every client receives world-class care, and the team operates like a well-oiled machine. Key Responsibilities: Core Transaction & Listing Support • Manage all contract-to-close tasks with accuracy and urgency, • Prepare, organize, and track all listing paperwork and disclosures, • Coordinate listing prep: staging, cleaning, photography, floor plans, repairs, • Handle marketing materials such as flyers, brochures, feature sheets, mailers, • Manage lockboxes, MLS input, timelines, compliance, and listing checklists, • Maintain and organize the team database: tagging, tracking, follow-up sequences, • Build, document, and maintain Standard Operating Procedures, • Implement systems that make the team efficient, scalable, and consistent, • Manage file organization, naming conventions, and workflow optimization, • Assist with social media scheduling, captions, and content prep, • Coordinate client appreciation events including invites, RSVPs, and materials, • Maintain consistent branding across all marketing channels and client touches, • Manage past-client follow-up systems: check-ins, reminders, gifting, • Ensure high client retention through thoughtful communication, • Assist with lead follow-up for open houses, database leads, and nurture flows, • Hold agents accountable to daily, weekly, and monthly goals, • Provide structured reporting on:, • Active pipeline & pending deals, • Listings in preparation, • Lead activity & follow-ups, • Social content calendar, • Client care touches, • Exceptionally detail-oriented and process-driven, • Strong communicator with high emotional intelligence, • Tech-savvy and comfortable learning new systems quickly, • Proactive, self-motivated, and comfortable taking ownership, • Thrives in a fast-paced, high-volume real estate environment, • Loves creating structure, organization, and systems Please submit: • Your resume, • A short note on why you’d be a great fit, • Examples of past real estate, admin, or operations work (optional but preferred)
