Job Summary The Client Center Planner is responsible for the full-service planning and execution of meetings in the Client Center. This role interacts daily with VIP clients and executive leadership and is highly client-focused, requiring refined communication, a white-glove service approach, and exceptional organizational and problem-solving skills. All team members are expected to embrace and uphold the Hospitality Core Values of honesty, integrity, and responsibility. Key Job Duties: • Deliver a high-touch, luxury hospitality client experience, • Serve as the single point of contact for all meeting planning and execution, including catering, audiovisual, setup, facilities, and materials, • Send daily meeting confirmations through the reservations system, • Identify and resolve room booking conflicts in collaboration with the reservations team, • Proactively schedule planning meetings, walkthroughs, and follow-ups with meeting hosts, • Coordinate audiovisual, food and beverage, room setups, signage, materials, and special requests, • Obtain proper approvals and billing information for event-related expenses, • Communicate effectively with internal departments throughout planning and execution, • Assist with bookings and document all requirements in the reservations system, • Create and distribute work orders, • Provide utilization and Client Center reports upon request, • Support senior planners during high-profile events, • Produce accurate floor plans, event resumes, and BEOs, • Participate in planning, pre-conference, and post-conference meetings, • Troubleshoot guest and team requests, • Conduct room checks prior to meetings, • Maintain positive client and vendor relationships, • Demonstrate knowledge of Client Center SOPs, • Adapt to rapidly changing priorities, • Maintain flexible availability including evenings and weekends Key Competencies:, • Luxury hospitality expertise and client-centric mindset, • Strong organization and multitasking skills, • Attention to detail and policy recall, • Meeting planning skills, • Positive and collaborative attitude, • Strategic, solution-oriented thinking, • Excellent written and verbal communication, • Creative event development, • Strong computer and reservations system proficiency, • Calm performance in fast-paced environments, • Dependable, ethical, and confidential, • Professional demeanor and accountability Qualifications:, • 2–4 years of event or meeting planning experience, • Knowledge of audiovisual and catering services, • Degree in Hospitality Management preferred, • Second-language proficiency is a plus Apply to Rapport today!
