Office Manager / PA to Directors Location: Purley, Surrey Salary: Circa £45,000 (DOE) Hours: Monday–Friday, 8:30am–5:00pm Support: Part-Time Office Assistant Overview We are recruiting for an experienced Office Manager / PA to Directors to take full ownership of a busy, fast-paced creative design studio. This is a hands-on, all-encompassing role combining office management, facilities management, health and safety, IT coordination, finance administration, and executive PA support. You will act as the central point of contact across the business, ensuring smooth day-to-day operations while supporting senior leadership. Key Responsibilities Office Management & Operations You will oversee the day-to-day running of the office, including managing reception, visitors, calls, and meeting rooms. You will ensure office presentation is maintained, and manage supplies, stock control, cleaning, catering, post, archiving, and internal coordination including events and team activities. Facilities Management You will manage office maintenance, repairs, and supplier relationships, liaising with landlords, contractors, and service providers. You will also oversee building systems such as security, CCTV, and air conditioning, and ensure smooth office opening and closing procedures. Health & Safety You will act as Fire Marshal and First Aider (training can be provided if required). Responsibilities include maintaining health and safety documentation, managing risk assessments, delivering inductions for new starters, and ensuring full compliance with all legal and statutory requirements. IT & Systems You will manage onboarding and offboarding processes including equipment, access, and system setup. You will log and resolve IT issues, maintain software licences and asset registers, and support internal systems and telephony administration. Finance & Administration You will raise purchase orders, check and process supplier invoices, support credit card reconciliation, and assist with budget tracking, cost control, and general financial administration. PA Support to Directors You will manage diaries, travel, and accommodation arrangements for Directors, provide administrative and reporting support, and assist with ad-hoc business tasks and occasional personal support where required. Candidate Requirements The successful candidate will have a minimum of four years’ experience in an Office Manager or Senior Office Support role, with strong PA or Executive Assistant experience. You will have experience supporting a business of around 50 employees or more and be confident managing office operations, suppliers, and facilities. You should be highly organised with strong multitasking skills, excellent attention to detail, and a proactive, solutions-focused approach. Strong IT skills including Microsoft Office are essential. Experience within a creative, agency, or studio environment would be beneficial, as would knowledge of health and safety processes or exposure to compliance frameworks such as ISO standards. Experience supporting IT coordination or systems management would also be advantageous.
