Owen Reed is looking for an Executive Assistant for a top law firm in London. This is an excellent opportunity for an experienced Executive Assistant to join a high-performing legal team, providing senior-level support to attorneys and helping deliver an exceptional client experience. This role is suited to a polished, proactive and highly organised professional who can work with confidence in a fast-paced legal environment. Location: London Working pattern: Hybrid – 3 days in the office, 2 days from home (flexibility required) The Role The Executive Assistant will provide high-level executive, administrative and legal support to senior attorneys with minimal supervision. You will play a key role in supporting client relationships, managing day-to-day priorities and ensuring work is delivered accurately, efficiently and to the highest standard. You will work closely with lawyers, paralegals and business support teams across the firm, acting as a trusted point of contact and helping to drive smooth operational and client service delivery. Key Responsibilities • Proactively manage complex diaries, scheduling, travel and meeting arrangements, • Monitor emails, coordinate actions and assist with client communications, • Prepare documents and materials for client meetings and deadlines, • Process mail and arrange deliveries as required, • Provide high-quality legal and administrative support to attorneys, • Track workloads, caseloads and upcoming priorities to ensure effective follow-up, • Create, edit, revise, format, redline and proofread legal documents and correspondence, • Maintain accurate and well-organised files within document and records management systems, • Liaise with lawyers, paralegals and business services teams to support client matters, • Maintain and update client information within the CRM system, • Support business development activity, including events, pitches, presentations, client gifting and marketing materials, • Assist with Work to Cash processes, including time entry, billing support, proformas, invoices and receivables, • Prepare expense reports, check requests and other accounting documentation, • Support the onboarding of new partners and senior legal staff, • Use workflow tools effectively to manage tasks and communication, • Minimum 5 years’ administrative and legal support experience within a law firm, legal department or professional services environment, • At least 3 years’ experience supporting senior partners, C-level executives or equivalent, • Strong understanding of legal terminology, procedures and deadlines, • Knowledge of SRA rules and legal administrative processes, • Excellent written and verbal communication skills, • Exceptional attention to detail and strong organisational skills, • Ability to manage multiple priorities and work to tight deadlines, • Confident using Microsoft Office and other legal technology platforms, • Fast, accurate typing skills, • Professional, discreet and able to handle confidential information with care, • Strong judgement, initiative and problem-solving skills, • Able to work independently and as part of a collaborative team
