Job DescriptionDescription: POSITION SUMMARY This is a temporary assignment from June to approximately October to cover a leave of absence. The Administrative Assistant reports directly to the Administrative Director. The main functions of the position are assisting the Administrative Director in ensuring the thorough completion of all clerical functions and efficient operation of the offices of the company. Essential Functions: • Answers phone calls, schedules meetings and supports visitors., • Carries out administrative duties such as filing, typing, copying, binding, scanning etc., • Exhibits polite and professional communication via phone, e-mail, and mail., • Supports the entire team by performing tasks related to organization and strong communication., • Provides information by answering questions and requests., • Maintains supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies., • Receive, sort and distribute incoming and outgoing mail., • Creates employee files and assists with onboarding of new team members as directed., • Prepare communications such as emails, mail, invoices, reports, etc., • Assist with petty cash receipt reconciliation as directed., • Assist with keeping the offices clean and organized., • Assist with the client intake and discharge processes as assigned., • Must be willing to work with a wide variety of symptoms related to mental health., • Willing to work with multicultural populations and have an understanding for cultural diversity. WORK ENVIRONMENT Work is performed during day shift primarily in office facility. Administrative Assistant may periodically drive a company vehicle for various reasons. The noise level in the work environment is usually quiet in office settings and moderate in other situations. BLOOD/FLUID EXPOSURE RISK: Some job tasks involve exposure to blood, body fluids and/or tissue. Staff must wear gloves and follow infectious control procedures when interacting with clients in conditions in which exposure is possible such as handling onsite urinary analysis, conducting first aid, and conducting search of client’s belonging and person. Staff may be exposed to infectious disease, needles, and illicit substances during searches. Work Schedule: Administrative Assistant employees are non-exempt hourly employees and will work a regular schedule consisting of weekdays (Monday-Friday) and weekends (Saturday and Sunday) as needed. The Administrative Assistant must adhere to his/her schedule and is not permitted to make changes or leave early without prior authorization. The Administrative Assistant must request all time off in accordance with company policy and shall not work over 8 hours per day or 40 hours per week without prior authorization from his/her direct supervisor, but if so, will earn overtime for any work performed in excess of 8 hours per day or 40 hours per week. Employees must also follow company’s policies regarding required meals and breaks
