Job Description Client Coordinator Location: Syosset, NY Schedule: Monday – Friday, 8:30 AM – 5:00 PM (onsite) Compensation: Up to $21/hour Employment Type: Temp-to-Hire Interview Process: One-step, in-person interview Pre-Employment Requirements: Background check and drug screening Position Overview The Client Coordinator serves as a central point of contact, responsible for managing and responding to inquiries related to independent medical examinations and case coordination. This role requires a high level of professionalism, communication, and attention to detail, as it supports interactions with clients, medical professionals, and internal teams. Operating in a fast-paced, service-driven environment, the Client Coordinator ensures all case-related information is accurately maintained, inquiries are resolved efficiently, and service expectations are consistently met. Key Responsibilities • Serve as the primary point of contact for inbound inquiries from clients, medical providers, and representatives via phone, email, and internal systems, • Coordinate scheduling activities, including appointment bookings, cancellations, and rescheduling of independent medical examinations, • Accurately enter, update, and retrieve case and client information within internal systems and databases, • Verify that all client records, guidelines, and case details are current and properly documented, • Partner with internal teams to ensure timely resolution of inquiries and efficient case processing, • Maintain clear and consistent communication across all stakeholders to support a seamless service experience, • Ensure all activities are conducted in compliance with confidentiality standards and regulatory requirements (including HIPAA), • Perform additional administrative and operational duties as assigned Qualifications • High school diploma or equivalent required, • Minimum of 1 year of experience in a clerical, administrative, or customer service role, • Prior experience in a medical office, insurance environment, or call center strongly preferred, • Strong communication skills with the ability to interact professionally and effectively with a variety of stakeholders, • Highly organized with strong attention to detail and accuracy, • Proficient in Microsoft Office (Word, Outlook, Excel) and general computer systems, • Ability to manage multiple priorities in a fast-paced, deadline-driven environment, • Demonstrated ability to work both independently and collaboratively, • Understanding of HIPAA regulations and commitment to maintaining confidentiality Ideal Backgrounds Candidates with experience in the following environments tend to excel in this role: • Medical reception or healthcare administration, • Insurance (e.g., auto, claims, or call center environments), • Customer service or client support roles, • Administrative or office coordination positions Performance Expectations Success in this role will be measured by: • Timely and accurate handling of client inquiries and case updates, • Consistent attention to detail in data entry and documentation, • Ability to manage workload efficiently and meet service timelines, • Professional communication and customer service delivery, • Adherence to compliance and confidentiality standards Additional Insight (for candidates) This position offers an excellent opportunity for individuals seeking long-term stability and growth within a structured, process-driven environment.
