Summary: The Office Coordinator is primarily responsible for all aspects of the day-to-day operation of the high-traffic Student Housing Office. As the first point of contact for residents and guests, the Office Coordinator presents a customer-first attitude while working with efficiency and organization. The position communicates frequently via phone, e-mail, and in-person. Responsibilities also include coordination of resident amenities programs such as processing of packages and deliveries and key check-out, as well as various administrative tasks. Essential Duties and Responsibilities: • Answers phones, answers questions, welcomes guests into the office, • Monitors and responds to office e-mail, • Coordinates and conducts tours of facility for prospective residents and campus groups, • Coordinates and monitors spare key and lock-out process. Conduct daily audits of electronic key boxes and coordinate follow-up for missing keys., • Assists with accounts receivable and accounts payable, • Assists in maintaining accurate and complete student records/files., • Coordinates office-wide ordering of office supplies and maintains inventory of said items, • Assigns Mailbox Numbers, oversees mail distribution, package logging and package dissemination, • Collaborates with all staff to ensure community service needs are aligned and recorded including accounts, maintenance, leasing, and emergent resident concerns, • Schedules meetings for office staff with interested parties as needed, • Manages door access via BlackBoard through Queens College, • Maintains confidentiality of all information about our residents and company, • Performs other clerical duties as needed, such as filing, photocopying, and collating., • Other duties as assigned To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. In this full-time role, you will be accountable for the growth, quality, and success of the assigned after-school program operation, its students, and staff. Pay: $58,500 - $62,500 (salary offer will be commensurate with experience and education) Essential Job Functions: * Oversees program staff, program operations, services, and implements programs and/or processes to provide services within established timeframes and in compliance. * Conducts staff performance evaluations and development plans with the Program Manager and Human Resources Department. * Provides weekly and monthly team meetings that encourage opportunities for team feedback and discussions about classroom management, lesson planning, writing prompts, and social-emotional learning. * Communicates regularly with supervisor on program updates, progress, and needs. * Coordinates outreach to the community and presents on the program to actively recruit participants. * Prepares various documents and reports (e.g., attendance, daily activities, daily program content, program design, etc.) for internal and external reporting. * Provides weekly individual supervision to each staff member with feedback, goal setting, and assessment of competencies in the role. * Supports all team members, including in-direct reports, and provides feedback as needed. * Collaborates with the Program Manager, Borough Director, and New York Edge Curriculum and Training Departments to develop and implement monthly all-staff professional development workshops/seminars. * Collaborate with the Principal and Assistant Principals on program delivery to align with goals with student achievement and performance. * Monitors and ensures all program compliance, including but not limited to student registration, staff documents, ratios, attendance tracking, IDs, and building permits. * Performs other related duties as assigned to ensure the efficient and effective functioning of the center and its programs. Education Requirement: * Bachelor’s degree required with preference in Education, Psychology, or Social Work * At least 18.0 credit hours from an accredited college or university in the field of Child Development, Elementary Education, Physical Education, Recreation or a related field preferred Experience Requirement: * Minimum of three (3) years experience in urban education, youth development or community organizing with at least one (1) year of supervisory experience. * Minimum of one (1) year of experience working with youth & adolescents in New York City. Essential Duties and Responsibilities • Ensure document control is adhered to on all aspects of the project., • Create project plans that include schedules, logistics, manpower, and task delegation at the onset of each project and evaluate regularly throughout., • Assist with the preparation and submission of permitting documentation as required., • Support and participate in the procurement of buying out projects, including pre-qualification of subcontractors for Project Executive review and execution., • Track and provide progress reports on all aspects of the projects including financials, adherence to schedule, legal issues, cost matters, or client concerns., • Plan regular site visits including but not limited to weekly OAC meetings., • Ensure quality construction standards and the use of proper construction techniques., • Review 2-week look ahead and adjust schedule accordingly prior to scheduled OAC meetings., • Review RFI and Submittal logs as well as Architect returned RFIs and Submittals, prior to scheduled OAC meeting, for accuracy and potential impact to project or sub-contract., • Prepare change orders including any cost or schedule impact for review by the Project Executive prior to issuance., • Review any 3rd party testing reports to confirm compliance., • Review owners contract to ensure project execution in accordance with the agreement., • Work regularly with project Accountant to ensure all billings, change orders, back charges, are being tracked, reported, and submitted appropriately., • Prepare monthly project financial report for review by Project Executive. This report will include the presentation of CM expenditures, contingency use, and budget allocations., • Manage the close out process including all financial, contractual, and delivery of required documentation., • Understand and adhere to contract documents including the Master Subcontractors Agreement, Subcontractor Specific Contract, Purchase, • Orders, and other relevant contractual obligations and procedures., • Other duties as assigned. Supervisory Responsibilities • 5+ years of supervisory experience, • Manage all team members and delegate tasks with clear and concise expectations of deliverable and timelines to ensure the success of the project. Monitor progress and compliance of each team member, • Ensure team is aware of, and adhering to, all Holt safety guidelines, procedures, and reporting requirements, both internal and external, • Manage and develop assigned staff toward maximum job performance and career potential, • Work closely with the Pre-Construction and Estimating teams to assist Business Units with the growth and maintenance of the subcontractor base including following proper procedures for pre-qualification.
