Job Description Executive Administrative Operations • Provide high-level strategic support to the Office of Mission and Ministry, ensuring seamless daily operations and proactive calendar management., • Facilitate institutional governance by coordinating various committees and meetings; manage pre-meeting materials, technical logistics, room reservations, agendas, minutes and post-meeting action items., • Oversee departmental financial administration, including budget planning, credit card reconciliation, procurement, expenditure tracking and the preparation of complex financial and annual activity reports., • Maintain meticulous data and financial integrity of the office., • Engage with community partners, ensuring positive collaboration and mutual benefit, • Supervise student personnel, recruiting and supervising graduate assistants and student workers by managing workflows and professional development. Event Management • Maintain a positive, Mercy-centered relationship with all guests, partners and colleagues. Confidentiality is to be maintained as appropriate., • Execute end-to-end event logistics for events, including major university traditions such as Mercy Week, Critical Concerns Week, and Christmas Tree Lighting - contract negotiation, travel and stipend reimbursements, venue coordination, and catering., • Organize Mission orientation and formation programming for faculty, staff, and students, ensuring a warm and welcoming atmosphere and that all materials and presentations align with GCU’s Mercy/Catholic identity., • Coordinate domestic and international travel for departmental staff and student groups, managing all documentation, compliance, and expense reporting., • Manage logistics for liturgies, including the scheduling of liturgies and priest presiders as well as disbursement of stipends for presiders and musicians. Communication & Marketing • Manage digital presence by maintaining and updating Mission and Ministry webpages to reflect current programming and resources., • Oversee marketing, including brochures, flyers, social media and digital announcements, to increase campus engagement with mission-centered activities., • Maintain death registry of GCU community members and facilitate Notice of Passing announcements, • Serve as an ambassador for the university’s Catholic/Mercy identity, providing professional, mission-aligned customer service to all stakeholders. Miscellaneous/secondary responsibilities that are sometimes involved in this job • Conduct research, compile data, organize materials, and propose ideas in response to requests for information on special projects as assigned, • Keep up-to-date and knowledgeable on topics relating to the Sisters of Mercy, Church relations and higher education.
