Job DescriptionAdministrative Support Specialist Location: Pennington, NJ Schedule: Hybrid (minimum 3 days onsite per week; onsite required day 1) Pay Rate: $28-$29/hour Position Overview We are seeking a highly organized and proactive Administrative Support Specialist to provide advanced administrative support to senior leaders and a fast-paced onsite team in Pennington, NJ. This role requires professionalism, discretion, and the ability to manage multiple priorities while supporting day-to-day operations and site-related needs. The ideal candidate is detail-oriented, adaptable, and comfortable working with executives while handling confidential and sensitive information. Key Responsibilities • Provide advanced administrative support to senior leaders and the broader onsite team, • Manage complex calendars, prioritize meeting requests, and coordinate meeting logistics, • Schedule meetings requiring coordination across multiple calendars, • Coordinate travel arrangements and process expense reports in accordance with policy, • Serve as onsite floor support, including building access coordination, • Act as the onsite point of contact for visiting team members, ensuring access and accommodations, • Support site-specific events, including catering coordination and post-event cleanup, • Order and maintain office supplies and equipment, • Oversee printer maintenance, including ordering supplies and ensuring functionality, • Submit and track ad hoc maintenance requests, • Assist with signage and general upkeep of the office floor, • Coordinate the collection and return of equipment for exiting resourcesTools & Technology, • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Visio), • WebEx, • Travel & expense tools (e.g., Concur or similar systems), • Corporate travel and expense platformsRequired Qualifications, • Strong ability to think proactively and balance multiple competing priorities, • Polished professional with excellent written and verbal communication skills, • Advanced proficiency in Microsoft Outlook and other MS Office applications, • Highly organized with exceptional attention to detail, • Excellent time management and prioritization skills, • Self-starter with the ability to adapt quickly to changing priorities, • Comfortable working under pressure and responding to unexpected changes, • Demonstrated sound judgment and ability to handle highly confidential information, • Strong interpersonal skills with the ability to work effectively across all organizational levels, • Proven accuracy and commitment to quality control, • Experience supporting multiple leaders or executives simultaneouslyPreferred Qualifications, • 2+ years of administrative support experience, • Experience using Concur or similar travel and expense systems, • Experience supporting executive-level stakeholders across multiple locations, • Strong partnering and collaboration skills, • Familiarity with large, complex corporate environments and enterprise toolsPay Details: $28.00 to $29.00 per hour Search managed by: Nicole Russ Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
