Job DescriptionAdministrative Assistant (Litigation Support)Job Type: Temp-to-Hire Pay Rate: $25-28/hour (temp) | $60,000 annually (permanent) Location: Scarsdale, NY | On-site (Monday-Friday, 9:00am-5:00pm) Start Date: Immediate Job OverviewMadison Approach Staffing is recruiting for an Administrative Assistant for our client's boutique two-attorney litigation firm. This role does NOT require legal experience but does require proven administrative experience and eagerness to learn. The ideal candidate excels at calendar management, possesses exceptional communication skills, and thrives in fast-paced environments. This position manages critical court schedules, client communications, file organization, and office administration. This is an immediate-start temp-to-hire opportunity with transition to permanent employment upon successful completion of trial period. Key ResponsibilitiesCalendar Management (Critical Priority) • Manage complex court schedules for both attorneys including court appearances, hearings, depositions, and deadlines, • Flag scheduling conflicts proactively and optimize schedules for NYC court travel efficiency, • Monitor case deadlines, filing dates, statute of limitations, and court-imposed deadlines, • Coordinate with court clerks regarding hearing dates and calendar changesClient & Court Communication, • Serve as first point of contact for clients via phone, email, and in-person, • Draft formal letters and emails including engagement letters and case updates, • Interact with court staff and legal professionals to coordinate filings and confirm dates, • Handle client inquiries professionally and route urgent matters appropriatelyDocument & File Management, • Organize and maintain paper and electronic case files with meticulous attention to detail, • Implement efficient filing systems ensuring documents are properly categorized and retrievable, • Prepare documents for court filing and ensure compliance with requirements, • Maintain confidentiality of all sensitive client informationCourt-Related Duties, • Occasionally deliver time-sensitive documents to NYC courthouses (own transportation preferred), • Coordinate e-filing of court documents and obtain court-stamped copies, • Monitor court dockets and case management systems for updatesGeneral Administration, • Answer phones, manage office supplies, and ensure smooth daily operations, • Coordinate attorney travel arrangements and perform other duties as assignedRequired Skills & Experience, • Administrative Experience: 2-3 years professional administrative experience; legal experience NOT required, • Calendar Management: Proven experience managing complex, multi-person calendars with competing priorities, • Communication: Exceptional written and verbal skills; ability to draft formal correspondence, • Organization: Highly organized with meticulous attention to detail, • Fast Learner: Quick to absorb new information, adapt to legal terminology, and master new processes, • Technology: Strong Microsoft Office proficiency; ability to learn case management software, • Professional Demeanor: Professional presentation when interacting with clients and court personnel, • Reliability: Dependable with excellent attendance and ability to work independently, • Discretion: High professionalism handling confidential information, • Problem-Solving: Proactive problem-solver who identifies and resolves issuesPreferred Skills & Experience, • Valid driver's license and reliable transportation for courthouse document deliveries, • Previous legal, professional services, or client-facing administrative experience, • Familiarity with legal terminology and court procedures, • Experience with e-filing systems (NYSCEF), • Strong proofreading and editing skills #zrCompany DescriptionWe don’t just want to find you a job, we want to help you achieve your goals.
