Key Responsibilities: • Answer incoming calls, schedule conference calls, and respond to emails on behalf of attorneys, • Open and manage new client matters, • Maintain attorney calendars and schedule meetings, conferences, and travel arrangements, • Enter attorney time using Aderant timekeeping and billing software, • Prepare and submit attorney expense reports, • Input, format, and edit legal and business documents, • Complete corporate forms and documentation for bank and brokerage accounts, • Organize and maintain client and attorney files (physical and electronic), • Prepare and distribute billing invoices to clients, • Monitor and manage deadlines, meetings, and key dates, • Transcribe dictations from computer or Dictaphone, • Update and maintain contact databases and mailing lists, • Handle clerical tasks including FedEx, faxing, scanning, and filing Qualifications: • College degree required, • Fluent in Spanish and English (spoken and written), • Excellent verbal and written communication skills, • Highly detail-oriented and organized, • Proven ability to manage multiple tasks under strict deadlines, • Strong sense of discretion and commitment to client confidentiality, • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), • Experience with Aderant or similar legal billing/timekeeping systems preferred
