Job Description Job Title: Transaction Coordinator/Pre-Closer FLSA Status: Non-Exempt Workweek: 35 hours a week, Monday thru Friday Salary Range: $50,000 - $60,000 Salary is commensurate with experience Summary of Functions: The role of the Transaction Coordinator/Pre-Closer is to receive orders from customers and coordinate all details of the transaction from application to closing. Duties may include but are not limited to entering orders into the production system, ordering exhibits (tax certificates, surveys, inspections, HOA due statuses and loan payoff statements), review of title commitment, resolution of title curative requirements, communication with client on clear to close file status, providing settlement fees, requesting bring down to update title information, obtain utility information, update calendar for closings, prepare the preliminary Closing Disclosure Form (CDF) or HUD-1 Settlement Statement (HUD) with title and settlement fees, preparing the file for closing, and any other duties assigned to him or her by the Manager. Essential Duties and Responsibilities: Maintains compliance with Surety Title Company, LLC policies and procedures in accordance with governing laws, regulations, regulatory agencies and company standards. Demonstrates on a consistent basis individual and team behavior that supports the culture of Surety Title Company, LLC. The essential duties and responsibilities of the Transaction Coordinator/Pre-Closer may include but are not limited to the following: · Establish and maintain positive customer relationships by providing exceptional customer service and professional communication. · Assist with the processing of residential settlements, generally involving purchase, cash, refinance, Equity Loans, Lot Closing, or new loan transactions. · Receive orders by telephone, email, fax or mail directly from customers. · Respond to customer inquiries/information needs and provides positive, courteous service to customers. · Review the title commitment to determine what is needed to clear title and coordinate the processing of same. · Input order into production system, review contract of sale, place orders with vendors, send acknowledgements/opening letters to customers. · Order, track, receive and distribute all items and services to customer and all related parties as required. · Schedule closing: coordinate date, time and place. · Prepare file for Settlement Officer to take to closing including all invoices and certifications. · Assist with ensuring that each settlement is properly completed and its contents filed in accordance with standardized procedures. Duties include but are not limited to: o Prepare the Pre-CD/HUD o Prepare the Final CD/HUD o Obtain approval for Final CD/HUD o Monitor document team in-box and forward emailed documents to the assign files to assigned Settlement Officer. If file is un-assigned, forward to Settlement Manager, Settlement Department for assignment. o Monitor RealEC team in-box and respond accordingly. If file is un-assigned, forward to Settlement Manager, Settlement Department for assignment. o Print Loan Documents o Perform Witness Only Closings o Obtain all payoffs o Obtain commission statements o Send HUD/CDF for approval to all parties · Properly scan all documents to file. · Assist with any department post-closing activities that may be required. · Performs any other duties as requested. Education and/or Experience · High School Diploma/GED required. · Must have at least two years of experience working at a title company. · HUD-1 and CDF Settlement Statement Preparation experience while working at a title company preferred. · Notary Public is required. · NJ Title License required. · Language Skills Ability to read, analyze, and interpret general business documents. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Computer Skills To perform this job successfully, an individual should have knowledge of Microsoft Office; a fax machine; a copier/scanning machine; and a multi-line telephone. Other Skills and Abilities · Ability to multi-task. · High Standard of organization and attention to detail. · Ability to work under stress with time deadlines. Key Responsibilities: • Comply with outside sales and reporting obligations, duties, requirements and guidelines., • Produce loans according to targets set by manager., • Uphold the integrity of the brand., • Must be familiar with originating loans., • Properly qualify consumers and assure that you are issuing pre-approvals according to guidelines., • Monitor loan pipeline through Lenders Office., • Monitor productivity via reporting tools., • Ensure compliance with all government and regulatory requirements., • Loan Officer shall determine his or her hours or work., • Loan Officers are not required to work any specific number of hours per week and when you do work it is at your discretion., • Take information from the prospective borrower and complete the loan application form., • Set yearly goals/attend meetings with manager., • Educate borrowers/communicate on a regular basis with borrowers, listing brokers and selling brokers., • Analyze the prospective borrower’s income and debt and pre-qualify the prospective borrower to determine the maximum mortgage amount that the prospective borrower can afford., • Educate the prospective borrower in the home buying and financing process, advising the borrower about the different types of loan products available and demonstrating how closing costs and monthly payments could vary under each product., • Maintain regular contact with the borrower, realtors and the Company between the time of the application and closing to apprise them of the status of the application and gather any addition information., • Collect financial information (tax returns, bank statements) and other related documents that are part of the application process., • Order in file credit report, when required by the Company., • Determine whether the property is in a flood area, where required by the Company., • Attend the closing of the mortgage loan, if requested by the company., • Under no circumstances shall the Loan Officer be compensated greater than the amount negotiated in the Loan Officer Compensation Agreement., • Able to comply with the policies and procedures outlined in the Company handbook, • Perform other duties as assigned.
