Position Summary K Systems Solutions (KSS) is seeking a highly organized, proactive, and trusted Executive Assistant to provide direct support to the President & CEO. This role is ideal for a detail-oriented professional who thrives in a fast-paced, entrepreneurial environment and excels at managing executive priorities, communications, and operational coordination. This is a hybrid position, requiring regular in-office presence at KSSs NYC headquarters, with flexibility for remote work based on business needs and executive schedule. Main Duties Key Responsibilities: Executive Support: • Manage the President & CEOs calendar, scheduling internal and external meetings with precision, urgency, and sound prioritization, • Coordinate complex scheduling across multiple stakeholders and time zones, • Prepare agendas, briefing materials, and executive-ready documentation, • Monitor and manage executive email and communications, drafting responses as appropriate, • Act as a liaison between the President & CEO and internal leadership, staff, clients, vendors, and partners, • Assist with preparation of presentations, proposals, reports, and internal documentation, • Track action items, deadlines, and follow-ups across executive initiatives and leadership meetings, • Support strategic planning sessions, leadership offsites, and cross-functional initiatives, • Provide in-office support during executive onsite days and meetings, • Coordinate meeting logistics at the NYC headquarters, including space, materials, and guest access, • Support ad hoc operational needs tied to executive and leadership activities What You Bring Required Education & Experience: • 5+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting C-level or senior executives Required Qualifications • Demonstrated ability to manage complex calendars and shifting priorities, • Exceptional organizational, time-management, and attention-to-detail skills, • Strong written and verbal communication skills, • High level of professionalism, discretion, and emotional intelligence, • Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), • Flexibility and ability to travel (nationally & internationally on short notice) Preferred Skills & Experience: While not required, the ideal candidate will bring experience or familiarity with the following: Business & Industry Context • Experience in technology consulting, IT services, staffing, or professional services, • Exposure to public-sector, enterprise, or regulated clients., • Understanding of vendor management, partner ecosystems, or subcontractor-based staffing models, • Advanced use of Microsoft 365, including:, • Executive calendar optimization and inbox triage, • Teams-based communication and collaboration, • Executive-level PowerPoint presentation development, • Familiarity or willingness to learn:, • Dynamic 365 /Dynamics Business Central, • Power Platform (Power Automate, Power Apps, Dataverse), • SharePoint document management and version control, • Strong ability to anticipate executive needs and proactively resolve issues, • Experience tracking initiatives, action items, and deliverables across departments, • Ability to operate effectively in a hybrid work environment, • Experience supporting leadership meetings, strategic initiatives, and cross-functional collaboration Personal & Professional Attributes • High level of trustworthiness, discretion, and sound judgment, • Comfortable supporting a hands-on executive with a fast-moving schedule, • Strong executive presence and confidence interacting with senior leaders, clients, and external partners, • NYC-based with comfort providing regular in-person support at headquarters Work Environment & Schedule • Hybrid role with a combination of onsite work at the NYC headquarters and remote flexibility, • Onsite presence aligned with executive and business needs, • Flexibility in hours as required to support executive priorities Compensation & Benefits Competitive full-time compensation range of $95,000 -
