Job Description The Administrative Assistant will report to the Chief of Staff and the Founder and CEO as needed, and will also provide auxiliary support throughout the organization. They will also embrace the opportunity to learn and be involved in several aspects of the business. Manage and maintain the CEO’s ever-changing calendar and follow-up list, with deep regard for confidentiality Coordinate internal and external meetings and calls, often across multiple time-zones Schedule travel, including flights, hotels, car service, meeting locations/conference rooms, and meal reservations Support headquarters administrative operations by organizing and scanning documents, helping coordinate in-office conference room meetings, and assisting with the efficient execution of daily administrative activities Preparation of internal and client-facing materials, including pitch decks, RFPs, documents, and spreadsheets Entering information into our database on behalf of the CEO and leadership team as needed, ensuring accuracy and providing detailed notes when available The ideal candidate possesses: 5-8 years of administrative experience, ideally supporting a busy C-Level executive in a fast-paced environment; Experience supporting a founder/entrepreneur a plus Demonstrates the critical thinking skills to anticipate potential conflicts before they arise, with the ability to identify and implement creative and effective solutions Strong communication skills, with the ability to write professionally (emails) and creatively (client-facing materials) Advanced to expert skill level in Microsoft products (Word, PowerPoint, Excel, Outlook), with a proven ability to learn new programs and technologies quickly (i.e., Slack, ATS, Microsoft Copilot, etc.) Experience keeping a busy executive organized, ensuring all follow-ups are completed in a timely manner, with the ability to prioritize Demonstrated success managing a frequently changing executive calendar, scheduling meetings and calls across multiple time zones, and coordinating and booking travel Active, nimble and adaptable, with the ability to shift between and prioritize competing and highly differentiated tasks to meet the needs of the CEO and/or company in a timely manner A team player mentality and is excited by the opportunity to try new things Collaborative workstyle: willing to adapt communication style to the needs of the CEO and other colleagues to have the strongest impact that generates response and results High Emotional Intelligence, ability to “read the room” and adapt your response to drive effective communication that yields positive and productive results Company DescriptionLoughlin Staffing is the top staffing and recruitment agency in Tarrytown, NY, providing permanent, temporary and temp-to-perm employment solutions.
