Job Description The Title Agency Processor is responsible for managing residential and commercial real estate transactions from contract receipt through closing preparation. This position serves as the primary liaison between buyers, sellers, lenders, real estate professionals, attorneys, and internal staff to ensure every transaction progresses efficiently, accurately, and in compliance with company policies, underwriter requirements, and all applicable federal and state regulations. Essential Duties and Responsibilities Transaction Management • Open and establish new escrow/title files., • Review purchase agreements and lender instructions for completeness and accuracy., • Order title searches, tax certifications, surveys, municipal certifications, payoffs, HOA/condominium information, and other required documentation., • Review title commitments and identify title defects requiring resolution., • Coordinate curative work with attorneys, underwriters, municipalities, lenders, and clients., • Maintain transaction timelines to ensure on-time closings. Client & Customer Service • Serve as the primary point of contact throughout the transaction., • Communicate proactively with buyers, sellers, REALTORS®, lenders, attorneys, and internal team members., • Provide timely updates regarding file status and outstanding conditions., • Deliver exceptional customer service while maintaining professionalism under pressure. File Coordination • Collect and review all required documentation before closing., • Verify vesting information, legal descriptions, mortgage payoffs, tax information, and lien releases., • Confirm lender conditions have been satisfied., • Prepare complete files for the Closing Officer. Compliance • Ensure compliance with:, • Company policies and procedures, • Underwriter guidelines, • ALTA Best Practices, • RESPA, • CFPB regulations, • State insurance regulations, • Anti-Money Laundering (AML) requirements, • Wire fraud prevention protocols, • Privacy and cybersecurity standards Quality Control • Review files for accuracy and completeness., • Verify title commitments and closing documents., • Maintain complete electronic records., • Identify and resolve discrepancies prior to closing. Administrative Responsibilities • Maintain accurate notes within the company's title production software., • Scan, upload, and organize documents., • Monitor processing queues and task lists., • Assist with post-closing requests as needed., • Participate in training and continuing education. Required Qualifications • High school diploma or equivalent required., • Associate or Bachelor's degree preferred., • Minimum 2 years of title processing, escrow processing, mortgage processing, or real estate transaction experience preferred., • Knowledge of residential real estate transactions., • Understanding of title commitments, title insurance, and settlement procedures., • Strong computer proficiency., • Experience with title production software (Qualia, SoftPro, RamQuest, or similar) preferred., • Proficiency in Microsoft Office (Word, Excel, Outlook). Preferred Qualifications • Multi-state processing experience., • Experience with refinance, purchase, commercial, and cash transactions., • Familiarity with electronic recording systems., • Knowledge of wire fraud prevention procedures., • Experience working with multiple underwriters. Physical Requirements • Ability to remain seated for extended periods., • Frequent computer and telephone use., • Occasionally lift up to 20 pounds., • Ability to work in a standard office environment.
