WHAT YOU’LL BE RESPONSIBLE FOR IN THIS ROLE We are seeking a detail-oriented and proactive Environmental, Health and Safety Administrative Assistant to support the daily operations of our Environmental, Health and Safety department. This role provides comprehensive administrative support for the department, initiatives, compliance documentation, and reporting requirements. Additionally, the position will serve as the administrative lead for our EHS Insight, our compliance and safety management software. • Provide administrative support to the Environmental, Health and Safety team, including scheduling meetings, preparing correspondence, and maintaining files., • Maintain and organize EHS records in compliance with internal policies and regulatory standards., • Coordinate and track employee EHS training and certification requirements., • Assist in audit and inspection preparations and documentation., • File workers’ compensation claims, ensuring accuracy and compliance with legal and insurance requirements., • Serve as an administrative lead for the EHS Insight software platform., • Manage EHS Insight user accounts, roles, permissions, and system configuration., • Ensure timely and accurate data entry across modules such as incidents, audits, inspections, and training., • Generate regular and ad hoc reports from EHS Insight for compliance, safety meetings, and internal use., • Troubleshoot user issues, work with vendor support, and maintain system integrity., • Collaborate with EHS team to improve and streamline workflows, forms, and reporting functions. Required Skills and Abilities: • Excellent verbal and written communication skills., • Investigative analysis and problem-solving skills., • Time management and organizational skills., • Ability to build effective cross functional relationships at all levels within the organization., • Ability to handle confidential information., • Attention to detail, • High School/GED or two years’ experience in related field or combination of both education and experience., • Candidates must have a verifiable history of safe vehicle operation and meet company standards for driving eligibility. This includes maintaining a clean driving record, which will be verified through a background check., • 2+ years of experience in an administrative role, • Strong organizational skills with attention to detail and accuracy., • Prior experience with workers’ compensation claims and documentation, • Bilingual in English/Spanish- must be fluent in both written and verbal communication., • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), • Experience working with EHS manager or compliance software, • Associate or bachelor’s degree preferred, • 1-2 years of EHS Insight experience., • Experience as a system administrator or super-user for EHS Insight or similar platforms., • Familiarity with OSHA, EPA and other regulatory requirements., • Knowledge of document control systems and internal/external audit procedures., • Experience with invoice tracking and basic financial documentation processes., • Environmental exposure –cold/wet conditions (40°ree; Fahrenheit or below/subzero temperatures), will work in the warehouse building and, in all plants (indoor and outdoor), • Exposure to mechanical parts that vary from freezing to hot temperatures in excess to 350°ree; Fahrenheit., • Work is performed primarily in a standard office environment with frequent interruptions., • Operate office equipment requires repetitive hand movement and fine coordination including use of a computer keyboard., • Ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, climb stairs, and twist., • Lift, carry, push, and/or pull light to moderate amounts of weight up to 25 lbs. HOURS & WORKDAYS: 1st Shift – 8:00 AM to 5:00 PM; Overtime, Weekends, and Holidays may be mandatory based on business needs. Rotating workday/time off schedules may be mandatory depending on department/business needs as well.
