Location: This position requires candidates to be based in the New York City Metro area, with the flexibility of a hybrid office environment. The physical office is located in Brooklyn, NY. JOB DESCRIPTION Under the direction of the Senior Manager of Career Development the Accounting and Payroll Coordinator will advance the mission and vision of Reel Works by supporting the finance logistics of the MediaMKRS Programs from the creation, actualization and reporting of program budgets and program grants; to processing student, instructor, and vendor payments and payroll to support the successful execution of the programs. We are looking for a meticulous, organized coordinator to support streamlining our processes, and to manage documentation and records proficiently to ensure correctness and promptness of program deliverables. WHAT YOULL DO Accounting and Payroll (70%) • Program Participant. Manage participant invoice creation and tracking, issue stipends and resolve billing inquiries. Support the collection of wraparound services from program participants. Keep spreadsheets for reconciliation purposes., • Program Support. Enter, process and confirm invoices and stipends for consultants, vendors, locations, models, etc. into our billing platform (Bill.com). Support credit card reconciliation process through Bill.com for MediaMKRS Team. Researching and ordering program supplies., • Budget Actualization. Maintaining proper coding for program expenses to support budget actualizations on program basis. Track budgets, agreements, and invoices., • Certificate of Insurance. Issue and track certificates of insurance as needed., • Payroll. Manage all hiring paperwork, compensation and invoices to instructors and participants for both union and non union projects (working with Entertainment Partners and in-house payroll system). Operations (30%) • Grant Reporting. Support grant proposals and financial deliverables for program grants. Liaise with various parties to gather and share relevant information as requested. Systematically and meticulously maintain records and documentation., • Travel. Coordinate travel and accommodations for program instructors and Reel Works staff. On-call / available to make last minute travel arrangements in liaison with the on site coordinator., • Other relevant ad-hoc projects and responsibilities. As assigned by the Senior Manager of Career Development. QUALIFICATIONS WHAT YOUVE DONE • 1-2 years experience in accounting, finance, or as a production coordinator with accounting and administrative related experience, • Proficient with various aspects of accounts payables, payroll, and vendor negotiation, • Excellent verbal and written communicator with good interpersonal skills; comfortable establishing and building good, productive working relationships with a variety of people across all levels (executive to peers) and within the film and media industry, • Experience and passion for inclusion and working effectively with a diverse group of people and our BIPOC community, • Experience with financial tracking, actualization, reconciliation, and grant reporting, preferred, • Experience with Entertainment Partners, Bill.com and Quickbooks Online, preferred, • Proficient in Google Apps [Drive, Calendar, Sheets, Docs, Hangouts and Mail] and experience with tools such as Zoom, Asana Salesforce, preferred WHAT YOU BRING • Eligible to work in the U.S., • Alignment and passion for our mission [Change the Story Tellers, Change the World!] and our core values [Growth, Accountability, Community, Self-expression, Equity, and Impact], • Affinity for process and task management and enjoys administrative challenges, • Natural ability to lead and operate independently, with appropriate level of day-to-day guidance from management, • Highly organized and flexible with proven experience thriving in a fast-paced environment where you juggled several responsibilities and/or vendors/customers, • Excellent execution and organizational skills.
