Millennium Gloucester Hotel London Kensington is seeking a Meeting & Events Executive- Planner , who will drive function room revenue and occupancy by managing pricing, inventory, and competitor analysis, Under the general guidance and supervision of the M&E Manager / Director of Sales. You will be responsible for optimising the market segment mix and making strategic decisions on major group bookings to meet or exceed the hotel's budgeted profit targets in line with Millennium and Copthorne standards. Key Responsibilities of the Groups Reservations Executive include: To liaise with accommodation department in order to gain quotations and hold or release bedroom accommodation in a timely and efficient manner. Closely monitor accounts' revenue and business production. Analyse productivity figures for all selected accounts. To undertake any and all reasonable Senior Management requests and special projects as assigned. To ensure that the DOSM is advised of all customer concerns at all times and to ensure complaints from clients are dealt with immediately and passed onto the HOD. To pass any sales leads and enquiries to the appropriate sales team member. To be able to liaise with and communicate with other Department Heads and staff; including the sales team, front office, group reservations, accounts and food and beverage outlets. To schedule and co-ordinate pre-conference meetings with hotel's operations staff and client when necessary. To carry out the preparation of the Function sheets and any amendments to them. To ensure that these amendments are issued in writing to the various outlets/departments. To ensure the final numbers for events are obtained and distribute all confirmed bookings to the Event Planning team ensuring the client signs for the function sheet in advance. To ensure all credit policies are adhered to at all times (i.e. deposits received in advance, PM's cleared within 24 hours) To handle the post for the department. To arrange appointment, trial meals, showrounds with clients when required. To pass any sales leads and enquiries to the appropriate sales team member. To be able to liaise with and communicate with other Department Heads and staff; including the sales team, front office, group reservations, accounts and food and beverage outlets. To comply with any reasonable instructions issued by management. Requirements Experience & Qualifications: Exceptional attention to detail and accuracy. Excellent written and verbal communication skills, with the ability to engage confidently across all levels of the organisation. Strong organisational skills, with the ability to prioritise and manage multiple tasks simultaneously. A proactive approach, with the ability to handle unexpected situations and last-minute changes effectively. Ability to manage sensitive and confidential information with professionalism. Previous experience in hotel reservations or groups coordination is advantageous, particularly within a large hotel environment. The successful candidate will be: Enthusiastic, self-motivated, proactive, and resourceful, with a strong eye for detail. Skilled in presentation, negotiation, and communication, with the ability to build strong relationships with clients and internal departments. A collaborative team player. Able to work efficiently under pressure in a fast-paced environment.
