MAIN PURPOSE OF THE ROLE Responsible for delivering a series of Business as Usual Change Management projects and support initiatives to enhance services across the Digital Engineering Services and Solutions department. Actively work with the department’s Product Owners to plan, direct, govern and deliver BAU maintenance and service improvement projects to enhance productivity and efficiency of operations, drive cost optimisation and meet the department’s wider strategy and objectives within the Corporate Technology Department. KEY RESPONSIBILITIES • Work with Team Leaders to identify and implement opportunities to enhance product functionalities, improve service quality and mitigate risk, ensuring within financial boundaries., • Managing the Business as Usual Change Management and Support programmes of work pipelines to build and maintain workload pipeline in order to predict future demands, activity and performance., • Provide visibility of internal workloads across planned and unplanned workloads in order to ensure effective pipeline management., • Work with the Department Service Owners to ensure that a proposed pipeline schedule of work/changes are realistic whilst considering available capacity; co-ordinate and articulating any challenge to the delivery timeline., • Scope requirements, working with Digital Engineering Services and Solutions Architect and Product Owner to understand solution and create the baseline plan. Ensure project delivery adheres to agreed scope and baselined timeline., • Carry out analysis and form clear recommendations and proposal on projects based on sound business rationale. Clearly capture and articulate strategic imperatives and benefits of projects., • Scope each project and plan individual project delivery for technical and non-technical initiatives., • Ensure that all Business and Usual Change Management Projects and support Services programmes-aligned works are planned and delivered in line within agreed project timelines and budgets., • Work closely with the DES Optimisation Manager and DES Engagement Manager for pricing mechanisms and costs to support the programme. Assess cost and feasibility whilst planning and delivering services., • Responsible for ensuring sufficient Infrastructure capacity to meet in house project and BAU programme deliverables, • Appropriately organise, structure and adequately resource staff with appropriate skillsets in order to deliver on agreed workloads within BAU Change Management and service support projects., • Structure the project plan with meaningful milestones that when baselined provide a basis to feed into regular project reporting., • Engage all stakeholders of the project and agree/ put in place effective governance using the guidelines in the project delivery framework, • Sign-off all deliverables assigned to the Project Manager roles in the project delivery lifecycle RACI and roles and responsibilities, • Obtain Approval of every project business case (benefits vs cost), • Obtain approval for project go live and to move items from pipeline into delivery., • Provide transparency as to project progress in regular project updates; ensuring that no project reporting data becomes “stale” or out of date., • Ensure that reporting updates are meaningful to all project and stakeholders, not all of whom will be SME’s in all aspects of the project. Provide executive summarized information when requested., • Oversee task tracking and dashboard creation for BAU Change Management and service improvement delivery; tracking requirements delivery and ensure open items are closed, • Provide MI surrounding delivery progress, RAID items, critical path milestones and key delivery dependency, • Identify and understand issues, errors or concerns, swiftly and accurately and resolve problems considering agreed policy, procedures and service needs, • Responsible for coordination and delivery of supplier onboarding management, third party risk management, compliance and data protection governance when delivering new or existing services, • Responsible for contract, NDA and SOW management with Procurement and Legal and Vendor Risk Management, • Work with Product Owners to identify key risks within the Digital Engineering Service and Solutions BAU environment, assessing and mitigating those risks in accordance with the Control function and appropriate risk management framework., • Operate in a controlled manner in accordance with the IT Risk Control function; standards and procedures whilst adhering to all related security and compliance procedures., • Obtain Approval to close project following update as to lessons learned and project closure reports, • Develop strong relationships with key stakeholders such as Human Resources, Other Technology verticals, Technology Resource Management, Procurement, Finance and Business Critical Services. WORK EXPERIENCE Essential: • Proven track record of delivering Infrastructure and or Service Operations small work commitment projects within time and budget., • Proven track record of delivering Infrastructure and Service Operations BAU Change Management and coordinating with wider Technology Application teams, • Proven experience and understanding of delivering through full project lifecycle SDLC/PDLC using waterfall and agile approaches, • Prior experience working within Infrastructure and Service Operations environment and high-level understanding of the environment, platforms and technology, • Extensive experience in delivery and stakeholder management, including budgeting, resource risk management, team leadership, service transition, operational readiness as mentioned below. Demonstrable experience of: • Budget management – accurate forecasting and working across stakeholders to agree how project costs (budget, increase to on-going expense budget) and benefits and gaining commitment that these costs are factored into their department business plans. • Delivery resource review and attestation of on time delivery (“doability”), • working across Product teams to confirm the availability of required capacity to deliver the project; overseeing progress to securing resource or re-planning project delivery timelines, • Delivery Management Subject Matter Expertise, • managing delivery several potentially unrelated projects and or work commitments, resolving conflict, delays and mitigate change risk and advise the business on decisions relating to change, • Governance design and delivery – delivering regular and relevant reports including to senior management / executive forums. Regular review and challenge of all Risk, Assumption / Action, Issues, Dependencies/ Decision (RAID) logs within the portfolio; and creation of portfolio level RAID items ensuring they are not “stale • Document Management – ensure all project artefacts are consistently structured to standards and maintained for ease of reference • Project closure – ensuring that every project and work commitment is “cleanly” closed and all “open” items are risk accepted or closed within budget Desirable: • Prior experience delivering Infrastructure and or Service Operations in a global bank or financial institution WORK EXPERIENCE SKILLS AND TECHNICAL COMPETENCIES Essential: • Strong project delivery and deadline management, • Strong communication and coordination, • Experience in multiple delivery methodologies (waterfall & agile), • Clear understanding of change management and BAU in corporate environment, • Strong governance approach to delivery, • Strong experience of Microsoft Project, Microsoft Office, Jira, Confluence, • experience of adhering to key controls (SOX, project delivery standards, third party risk management, operational resilience management, compliance and data protection etc, • Strong understanding Education / Qualifications: Preferred: • Relevant qualifications/ accreditations e.g. Prince2 APMP project management methodology and certification, PMI, Six Sigma or other Personal Requirements • Excellent communication skills, • Results driven, with a strong sense of accountability, • A proactive, motivated approach., • The ability to operate with urgency and prioritise work accordingly, • Strong decision-making skills, the ability to demonstrate sound judgement, • A structured and logical approach to work, • Strong problem-solving skills, • A creative and innovative approach to work, • Excellent interpersonal skills, • The ability to manage large workloads and tight deadlines, • Excellent attention to detail and accuracy, • A calm approach, with the ability to perform well in a pressurised environment, • Strong numerical skills We are open to considering flexible working requests in line with organisational requirements.
