Administrative Assistant Location: North London Hours: Full-time, Monday to Friday (8:00 AM – 4:35 PM) About the Organisation This role sits within a long-established and prestigious British heritage organisation that supports nationally significant institutions, public-sector bodies, and international clients. The Opportunity As an Administrative Assistant, you will play an important role in supporting day-to-day operations and ensuring administrative processes run smoothly and efficiently. You will work closely with senior colleagues, contributing to the upkeep of accurate records, preparing documentation, and handling a variety of routine and project-based administrative tasks. While prior experience is valuable, the organisation is equally focused on hiring someone with the right mindset: organised, detail-oriented, proactive, and reliable. Full training will be provided across internal systems and workflow processes. There is genuine long-term potential for the right person to grow into a more senior administrative, operational, or coordination-focused role. Key Responsibilities Administrative & Documentation Support • Maintain accurate and well-organised records across internal systems and shared databases., • Prepare, format, and update documents, spreadsheets, and reports., • Organise and maintain digital filing systems, ensuring information is accessible and up to date., • Assist with routine reporting, creating summaries, logs, and checklists. Team & Operational Coordination • Support internal teams by gathering information, preparing materials, and coordinating routine tasks., • Track outstanding actions, deadlines, and project milestones., • Liaise with colleagues across multiple departments to facilitate smooth operations., • Assist in the preparation of meeting materials, agendas, and notes. Office & Administrative Tasks • Manage inboxes, calls, and general correspondence as required., • Support in scheduling appointments, coordinating diaries, and arranging internal meetings., • Help maintain organised office processes, supplies, and shared resources., • Provide general administrative support to senior operations and management staff. Systems & Data Management • Input, update, and verify data across spreadsheets, logs, and internal platforms., • Support quality control processes, ensuring information is consistent and accurate., • Help maintain reference numbers, codes, and organisational identifiers in line with internal processes. Essential Skills & Experience • Background in administration, office support, data management, or similar structured work., • Excellent attention to detail and a strong commitment to accuracy., • Highly organised with the ability to manage multiple tasks and deadlines simultaneously., • Confident using Microsoft Office (especially Excel), shared drives, and digital file systems., • Clear written and verbal communication skills., • Proactive, dependable, and comfortable working both independently and within a small, fast-paced team., • Able to handle sensitive or confidential information with discretion.
