Role Overview We are seeking a sharp, disciplined Project Assistant to join our Mayfair office full-time. This is a hands-on role working directly with the principals of a small investment and real estate development firm. You will sit close to decision-making, help drive live projects forward, and build the systems that keep the business under control. The main focus is supporting high-end residential development projects in Prime Central London, including listed buildings and complex planning, design, financing, and construction processes. Alongside this, you will support the firm’s wider investment activity, including market monitoring, macro research, portfolio tracking, and investment-related work. The role also includes operations, systems, document control, AI tools, and general business support. This is not a passive admin role. We need someone highly organised, commercially curious, and comfortable moving between project execution, financial analysis, stakeholder follow-up, and admin. What You’ll Do • Track project deadlines, milestones, open decisions, and consultant deliverables, • Coordinate with architects, designers, engineers, solicitors, lenders, surveyors, and contractors, • Follow up with external parties to keep work moving, • Prepare meeting notes, action trackers, decision logs, and short internal updates, • Organise project, legal, lender, consultant, and investment documents, • Support planning, building control, lender, and construction processes, • Compare proposals, quotes, budgets, and contractor responses, • Monitor markets, macro data, equities, ETFs, and investment themes, • Build and maintain spreadsheets, trackers, dashboards, and reports, • Improve internal systems across Google Workspace, Slack, email, AI tools, and document management, • Help with admin, operations, and general business support where needed Immediate Priorities The role will begin with live work on active projects, including: • Supporting the building control submission process for a super-prime residential development, • Building the supply chain network and structure across contractors, suppliers, specialist trades, and manufacturers, • Supporting refinancing preparation, including lender documents, project summaries, timelines, and due diligence materials, • Improving internal systems What We’re Looking For • Regular use of AI tools in daily work and life, with a strong interest in applying AI to real business tasks, • Strong attention to detail and ability to manage information accurately, • Highly self-motivated, disciplined, and able to work without constant supervision, • High ownership and bias to action — someone who gets things done without waiting to be pushed, • Ability to complete real tasks and produce genuine outputs, not just research or notes, • Interest in real estate investment and development, • Interest in financial markets, especially equities, macro, and investing, • Strong written and verbal communication, • Good Google Workspace skills, including Docs, Sheets, Drive, Gmail, and Calendar, • Based in London and able to work in person full-time, • Ambitious, practical, and willing to take responsibility early Other Details • Full-time role, • 5 days per week in person at our Mayfair office, • Immediate start required, • Must be based in London, • Best suited to recent graduates and early-career candidates Who This Role Suits This role suits someone who wants exposure to real decision-making early in their career. You should be comfortable moving between a property development meeting, a lender document checklist, a market update, a spreadsheet, a consultant follow-up, and an internal systems problem. You do not need to know everything already. But you need to learn quickly, stay organised, take responsibility, and care about getting things finished properly.
