St David Recruitment are recruiting on behalf of a UK law firm to secure an Office Services Assistant for their Cardiff based branch.\nThis role requires someone who is professional, polite, experienced being the first point of contact for the business, has excellent customer service, is forward thinking, highly organised and confident in taking total care of the clients both in person and over the phone.\nRole Overview\nPosition: Office Services Assistant\nLocation: Cardiff office, UK law firm\nHours: Full-time, Monday to Friday, 9am–5pm, with flexibility for extra hours\nFocus: Ensuring smooth day-to-day operations of client areas and overall office services, with strong client interaction both in-person and over the phone\nKey Responsibilities\nClient Interaction & Office Presentation\n Meet & greet clients and provide Wifi codes\n Prepare and maintain meeting rooms (layout, cleanliness, refreshments)\n Monitor conference room bookings for availability\n Conduct daily quality checks and liaise with IT if issues arise\n Assist with ad hoc client requests\nAdministrative & Communication Duties\n Receive, sort, scan, and distribute incoming post, courier deliveries, and DX items\n Follow procedures for cheques and postage\n Assist with binding, scanning, and photocopying documents\n Maintain office printers, stock paper, and help resolve minor printer issues\n Handle courier services and internal deliveries\n Reconcile catering invoices and submit to Office Services Manager\n Ensure refreshments and consumables are stocked and ordered\n Manage postage budget and minor financial duties related to private postage\nFacilities & Compliance\n Carry out office coffee machine maintenance\n Perform archiving tasks (files, deeds, Wills)\n Tap flushing routines as needed\n Fire Warden duties after training\n Assist Office Services Manager with ad hoc tasks\n Cover additional duties or extended hours when required\nSkills & Experience Required\n Previous experience in client-facing or facilities services role\n Excellent client care and communication skills\n Highly organised, detail-oriented, and accurate\n Knowledge of Microsoft Office packages\n Positive, proactive, “can-do” attitude\n Flexibility in role and working hours\n Self-motivated with willingness to learn\n Team player with initiative\n Good educational background (GCSEs including English & Maths)\nAbout you:\nFriendly and professional when dealing with clients\nEfficient multitasker who can manage rooms, post, and admin simultaneously\nAble to anticipate needs and resolve issues independently\nCalm under pressure, adaptable, and detail-focused\nHours are Monday to Friday, 9am – 5pm with flexibility to work additional hours.\nSalary: £25,000\nStart date: ASAP\nSt David Recruitment Services is working as an employment business on behalf of a client
