The Role and the Department We are an outstanding provision and At Durham University Day Nursery we aim to provide high quality childcare in a safe secure and stimulating environment for children from 0 to 5. We aim to operate in partnership with parents, helping children to be happy, independent and well-adjusted emotionally and socially. Our Nursery aims to promote self-confidence and a positive attitude to learning in all children whatever their gender, ethnicity, home language, special educational needs, disability or ability. We aim to offer a broad, balanced and diverse curriculum where learning will be fun and will provide basic skills for the future. We recognise that every child is unique and aim to assist all children to attain their maximum development potential by paying attention to their individual needs. We aim to support students and staff of Durham University with parental responsibilities, in order that they can achieve their goals at study or at work. The Nursery Finance Administrator will work closely with the Nursery Management Team and have responsibility for supporting the development of administration and finance activities, ensuring such activities are implemented and managed in a professional, effective manner. This will include invoicing, contract management, ordering goods and services, reconciling company credit card, keeping training logs up to date, creating newsletters for parents, taking minutes and attending parent meetings, updating nursery website, updating policies, procedures and risk assessments, liaising with university departments to ensure parent accounts are up to date, dealing with general queries and office management duties. The Nursery Administrator will be responsible for ensuring that administration and finance activities are completed accurately, in accordance with University policies and procedures and that complete and up-to-date records are maintained. The Nursery Administrator will provide a comprehensive, efficient and effective administration service to the Nursery ensuring that agreed operating procedures, templates and checklists are adhered to and, where appropriate, improved. • Working pattern is Monday to Friday 9-5pm with 1 hour lunch break., • The post requires an Enhanced DBS check, • There will be a requirement on occasions to work evening to attend staff meeting with occasional evening and weekend if training is required. What you need to demonstrate when you apply To be considered for this role, here are the skills/experience we're looking for: Qualifications/Experience 1. Five GCSEs at least Grade C or level four (or equivalent) including English Language and Mathematics or equivalent experience., 2. Experience of working in a busy office environment delivering front line administrative services or having relevant qualifications for the role., 3. Experience of managing time to meet deadlines and working under pressure without compromising on quality. Skills/Abilities/Knowledge 4. Good spoken and written communication skills., 5. Good digital skills including experience in using digital devices and apps including the internet, email, digital communication tools, Microsoft 365 applications, digital booking systems., 6. Committed to continuing professional development., 7. Ability to solve problems and resolve straightforward issues yourself and as part of a team., 8. Ability to provide advice and guidance to a range of colleagues and customers., 9. Demonstrable effective time management and workload organisation and prioritising skills with the ability to manage conflicting priorities., 10. Proven ability to deliver a high standard of customer care and service, with a demonstrable customer focus 11.. Highest level of attention to detail. 12 Ability to maintain a polite but professional approach when liaising with challenging individuals enring tact and diplomacy at all times and high degrees of confidentiality . Desirable Criteria 1 Experience of managing and tracking budget spend. 2 .Experience of administration and finance processes, ideally gained within a nursery environment. 3 .Experience of Durham University Finance, procurement and HR processes and policies. Smooth running of administrative processes to support parents, staff and business activities Communication/Liaison • Seek feedback from parents, staff and anyone else that you come across as part of your role on their requirements from your service to ensure that their reasonable expectations are being met., • Record information [e.g. bookings for activities/events] and respond to queries which you receive., • Liaise with [staff in other areas, professional organisations and agencies] to ensure that services are being delivered in an efficient and collaborative way., • Liaise with external [suppliers, contractors, specialists and service providers] to plan the delivery of services and events., • Provide support for meetings, working groups and committees, such preparing and sending documents for meetings, drafting reports and taking minutes., • Any other reasonable duties.
