Job Description Job Title: Office Services Associate Location: Midtown Manhattan, New York, NY Schedule: Full-time, Onsite Pay Rate: $25/hour About the Role The Office Services (OS) team provides comprehensive administrative and facilities support across the firm’s two midtown Manhattan offices, serving thousands of employees. This highly visible role is customer service–oriented, fast-paced, and requires professionalism, adaptability, and attention to detail. The Office Services Associate is responsible for ensuring smooth daily operations, assisting with mail, messenger, supply, and facilities needs, and supporting the overall employee and visitor experience. Key Responsibilities • Mailroom & Messenger Services, • Receive, sort, and distribute incoming mail, interoffice mail, packages, and confidential envelopes., • Operate postage machines, manage certified and tax mail, and coordinate daily pickups/deliveries., • Arrange and monitor messenger services for time-sensitive and complex deliveries across the tri-state area., • Track all packages using QTrak delivery software and maintain detailed logs for sensitive items., • Office & Administrative Support, • Create and install nameplates for offices, cubicles, and conference rooms; coordinate updates with HR and Facilities., • Manage office supply depots and copy rooms, ensuring they are well-stocked, neat, and compliant with security standards., • Assist with onboarding/offboarding of employees, including desk setup, supply preparation, and shipment of personal items., • Support conference room needs, including stocking supply boxes, maintaining shred bins, and delivering newspapers to designated floors., • Coordinate visitor preparation, including desk setup, signage, and follow-up after departure., • Deliver print shop jobs, business cards, and records boxes as needed., • Client & Departmental Support, • Respond to and complete service requests via the ServiceNow (SNOW) ticketing system promptly and professionally., • Provide exceptional customer service and proactively anticipate employee and departmental needs., • 1–3 years of experience in office services, mailroom, facilities, or related corporate support required., • Strong customer service orientation with excellent interpersonal skills., • Professional demeanor with the highest level of discretion and integrity., • Strong organizational skills with the ability to multi-task and prioritize effectively., • Resourceful problem solver with sound judgment and attention to detail., • Flexible and adaptable in a fast-paced, high-volume environment., • Ability to lift up to 50 lbs. and handle physical aspects of office services work., • Business professional attire required (tie, slacks, pressed shirt, and dress shoes).
