    Job Summary The Medical Receptionist serves as the first point of contact for patients and visitors in a healthcare facility. This role is responsible for managing front desk operations, providing excellent customer service, and ensuring smooth administrative functions within the medical office. The Medical Receptionist handles patient interactions, scheduling, and clerical tasks while maintaining a professional and compassionate demeanor. Key Responsibilities Patient Interaction: Greet patients and visitors warmly, answer inquiries, and provide assistance in a professional and courteous manner. Appointment Scheduling: Schedule, reschedule, and cancel patient appointments using electronic health record (EHR) systems or scheduling software. Patient Check-In/Check-Out: Verify patient information, collect co-pays, and process paperwork during check-in and check-out procedures. Ensure all patient information is accurate and up-to-date at every visit. Phone and Communication Management: Answer phone calls, respond to patient inquiries, and relay messages to medical staff promptly. Medical Records: Maintain accurate and confidential patient records, ensuring compliance with HIPAA regulations. Insurance Verification: Verify patient insurance coverage, obtain necessary authorizations, and ensure all insurance information is correct and current. Patient Arrival Tracking: Monitor and record the time patients arrive for their appointments to maintain accurate scheduling and wait time records. Doctor Schedule Notifications: Proactively notify patients if the doctor is running behind schedule, providing updates on expected wait times to ensure clear communication. Administrative Support: Perform clerical tasks such as filing, faxing, scanning, and managing correspondence. Billing Support: Assist with basic billing tasks, including preparing invoices and coordinating with billing departments. Office Coordination: Ensure the reception area is tidy, well-stocked with forms and supplies, and welcoming for patients. Collaboration: Work closely with medical staff to coordinate patient care and ensure efficient office operations. Qualifications Education: High school diploma or equivalent; additional certification in medical administration or office management is a plus. Experience: Previous experience in a medical office or customer service role preferred. Skills: Strong communication and interpersonal skills. Proficiency in EHR systems, scheduling software, and Microsoft Office. Ability to multitask and prioritize in a fast-paced environment. Knowledge of medical terminology and HIPAA regulations. Excellent organizational and time-management skills. Attributes: Compassionate, detail-oriented, professional, and able to handle sensitive patient information with discretion. Working Conditions Environment: Typically works in a medical office or clinic setting. Hours: Full-time with potential for an occational Saturday shift depending on the need. Physical Requirements: Prolonged periods of sitting, occasional standing, and use of computers and office equipment.
