This role manages FPWAs physical office space and conference center, ensuring a safe, efficient, inclusive, and welcoming environment that supports our mission, staff, partners, and visitors. POSITION OVERVIEW The Facilities Manager is a hands-on leader responsible for the day-to-day operational management of FPWAs office and conference center. Reporting to the Director of HR & Operations, this role ensures that FPWAs physical plant is well-maintained, safe, accessible, and aligned with the organizations mission and strategic vision. The Facilities Manager oversees vendor relationships, supports hybrid technology readiness, manages the facilities budget, and plays a key role in long-term planning for space, security, sustainability, and business continuity. ESSENTIAL FUNCTIONS Office Management & Conference Center • Act as primary liaison with building management, vendors, and contractors; oversee and monitor work to ensure adherence to FPWA standards., • Manage office systems (phone, AV, card access, copiers, mail services), ensuring reliable and cost-effective operations., • Coordinate with outsourced IT providers to maintain seamless technology and hybrid meeting capacity., • Oversee the daily operations of FPWAs conference center, including scheduling, event setup/breakdown, and AV provision for staff and external partners., • Maintain facility cleanliness and safety, including restrooms, meeting rooms, and common areas, via direct supervision of staff or vendors., • Supervise and develop facilities staff, establishing clear workflows and team schedules aligned with the events calendar., • Provide coaching, training, and performance feedback to ensure a high-performing and cohesive team., • Develop and manage facilities policies and procedures to ensure consistent, efficient use of space, equipment, and services., • Ensure compliance with health, safety, fire safety, and accessibility regulations; distribute and train staff on emergency procedures., • Collaborate with Program, Finance, HR, and IT teams to ensure facilities operations support program delivery, financial compliance, and staff productivity., • Oversee building access, visitor management, and workplace security systems., • Support FPWAs business continuity and emergency preparedness planning, including storm closures or citywide disruptions., • Manage the facilities budget, review and approve vendor invoices, negotiate contracts, and identify cost-saving measures., • Other duties as assigned REQUIRED QUALIFICATIONS • Minimum 5 years of progressively responsible experience in facilities management, office services, or similar roles., • Familiarity with compliance and safety requirements in office management, including ADA, OSHA, and FDNY fire safety., • Demonstrated experience with conference/event space management, AV systems, and hybrid meeting technology., • Proven budget management, vendor negotiation, and service contract oversight skills., • Strong interpersonal, written, and oral communication skills; able to build constructive, collaborative relationships across teams., • Excellent organizational skills; ability to manage multiple priorities and deadlines, with attention to detail., • Problem-solving and proactive mindset, with the ability to anticipate challenges and act with accountability., • A high degree of trust, flexibility, initiative, commitment, and organization, • Commitment to FPWAs mission and equity-informed approach to operations. SUPERVISOR RESPONSIBILITY • Directly supervises a team of two FacilitiesAssistants, providingguidance, training, scheduling, andperformance managementto ensure efficientand high-quality facilities operations., • Oversees the work of contracted vendorsand service providers, ensuring compliancewith FPWA standardsand contractualobligations., • May engage and coordinate consultantson specializedprojects or operationalneeds as required. Work Environment and Physical Demands • Work performed by this role is expected to take place in or near New York, NY, in accordance with FPWAs work policies and practices. The position operates in a professional office environment and routinely involves the use of standard office equipment as well as light industrial equipment., • This role requires the ability to safely lift, carry, and move items weighing up to 50 lbs., consistent with OSHA guidelines.
