Job Description Job Title: Staff Accountant Job Description The Staff Accountant plays a hands-on role supporting day-to-day accounting and job-costing functions in a construction-focused environment. This position is ideal for someone with construction accounting experience who is comfortable working in QuickBooks Desktop and enjoys wearing multiple hats in a small, fast-paced company. The role centers on contract billing, cash flow tracking, accounts payable and receivable support, payroll coordination, and year-end accounting support, working closely with internal team members and external accounting partners. Responsibilities • Track, maintain, and report project costs for multiple construction jobs., • Enter, reconcile, and maintain detailed job cost data in QuickBooks Desktop., • Generate accounting and job costing reports for internal management, external accounting firms, and accounting consultants., • Collaborate closely with managers to ensure accurate and timely job costing for all projects., • Prepare backlog reports and monitor project financial status., • Manage and record subcontractor and client retainage in the accounting system., • Enter equipment job costing entries and ensure accurate allocation of equipment costs to jobs., • Assist with month-end and year-end close processes, including reconciliations and supporting schedules., • Process and reconcile subcontractor and vendor invoices in a timely and accurate manner., • Manage vendor accounts, resolve billing discrepancies, and maintain strong relationships with vendors and subcontractors., • Maintain compliance documentation for vendors and subcontractors, including W-9s, Certificates of Insurance, and Public Work Certificates., • Generate and manage lien waivers, including partial waivers for progress payments and final waivers prior to final payments., • Obtain warranties and other required documentation before releasing final payments., • Prepare and issue client invoices promptly and accurately, aligned with contract terms., • Execute and reconcile monthly billing for revenue in the range of $10–15 million., • Enter monthly contract billing into QuickBooks Desktop and ensure proper coding and documentation., • Follow up with clients regarding payment status and support cash flow tracking., • Maintain and adjust union labor billing rates and communicate rate increases as needed., • Enter intercompany billing when required by the accounting consultant., • Assist with certified payroll reporting for a workforce of approximately 10–20 employees., • Submit monthly OCIP payroll reports when required., • Prepare payroll reports by insurance class code (such as grading, supervision, shop, excavation, and clerical) for insurance renewals, annual audits, construction credit applications, and periodic evaluations., • Enter monthly journal entries for intercompany transactions as needed., • Maintain a working knowledge of union wages and benefits to support accurate payroll and billing., • Complete insurance renewal applications and assist with estimated payroll calculations by class code for renewals., • Execute OCIP enrollments and update insurance rates in QuickBooks Desktop as required., • Complete construction credit applications and prepare documentation for audits and compliance reviews., • Manage client and vendor compliance documentation and provide Minority and Affirmative Action reports to clients upon request., • Assist with prequalification applications and support additional reporting requirements., • Support safety and compliance reporting requirements as needed., • Oversee and support an existing team member in the accounting function and collaborate with the certified payroll team., • Work cross-functionally with internal partners on accounting and operational needs., • Experience with construction accounting and job costing in a hands-on role., • Proficiency with QuickBooks Desktop, including job cost entry, reporting, and rate updates., • Strong reconciliation skills across accounts payable, accounts receivable, and general ledger accounts., • Demonstrated ability to manage contract billing and track cash flow., • Experience supporting accounts payable functions, including invoice processing, vendor account management, and compliance documentation., • Experience supporting accounts receivable functions, including invoicing, billing reconciliation, and payment follow-up., • Familiarity with certified payroll reporting and union payroll processes., • Working knowledge of union wages, benefits, and union-related billing requirements., • Experience assisting with month-end and year-end close activities., • Understanding of general ledger accounting and journal entry preparation., • Associate’s degree in accounting or finance., • Ability to manage multiple priorities in a fast-paced, small-company environment., • Strong attention to detail and accuracy in financial data and documentation., • Experience in a construction industry environment, particularly with project and job-cost accounting., • Experience in contract billing for high-volume monthly revenue., • Experience with union benefits and union-related reporting., • Familiarity with OCIP reporting and enrollments., • Experience preparing documentation for insurance renewals, annual audits, and construction credit applications., • Comfort overseeing and supporting other accounting team members., • Interest in and aptitude for growing into a controller-level role over time., • Ability to work cross-functionally with operations and other internal partners to support business needs.
