Job Description Job Description: Mission Bank is seeking a 1031 Exchange Operations Officer to join the team! 1031 Exchange Operations Officer oversees the daily operations and administration of a qualified intermediary's (QI) office, facilitating tax-deferred real estate transactions by ensuring client compliance with IRS regulations and managing the lifecycle of an exchange. Key responsibilities include coordinating transactions, preparing and processing documents, managing client communications and relationships, and overseeing administrative staff, all while adhering to strict legal and procedural timelines. This position requires high attention to detail, compliance with regulations, managing multiple staff members and processes, delivering outstanding customer service, and supporting 1031 Exchange Officers. Target Compensation: $90,000, depending on experience. Essential Duties: • Develop a thorough familiarity and knowledge of the I.R.C. Section 1031 Exchange regulations., • Manage 1031 Exchange Associates, • Manager multiple processes for the processing of 1031 exchanges including but not limited to recommending process improvements and assuring quality control., • Prepare and process exchange documents for both relinquished and replacement properties, • Ensure that all documentation is in compliance with all current and applicable regulations, • An understanding of the elements of all variations of a 1031 exchange, i.e. Simultaneous, Build to Suit, Forward, Reverse and Personal Property., • Knowledge and ability to perform in compliance with the Exchange agreement documentation and applicable regulations in tandem., • Preparation of proper documentation and verify all exchanges are in compliance with the regulations, statutes, FIRPTA and withholding requirements., • Ensure Safe-Harbors, if used, are not violated and therefore cease to apply., • Interpret and apply the regulations to complex transactional issues., • Provide proper and accurate transaction accounting to the taxpayer., • Respond and track the time constraints applicable to 1031 exchanges., • Manage exchange funds in a prudent, safe manner that incorporates sound business practices and complies with all regulations and the Federation of Exchange Accommodators ("FEA") code of ethics as well as Federal and State legislation as applicable. Complying with California HB 1007, and any new or current legislation., • Maintain a profitable operation following company operating and reporting practices; prepare a realistic budget and manage budget variances, review and analyze monthly financial statements, implement cost control procedures., • Provide oversight and participate in the performance of all the following regular duties:, • Reconcile the exchange deposits and incoming fees daily, • Reconcile exchange deposits to final settlement statements, • Check and open all incoming mail and courier deliveries, • Answer phone and check voice mail messages throughout the day, responding with appropriate action for each message, • Check emails throughout the day, responding with appropriate action for each message, • Calendar important dates and reminders for all exchanges, • Monitor the Exchange Dept Outlook Calendar daily - take appropriate action for any reminders or appointments that occur, • Maintain Exchange Dept Whiteboard system, • Communicate with client and escrow officer regarding any active exchanges that need attention including obtaining documents to process exchange documents and obtaining signatures on exchange documents, • Scan all exchange documents for electronic storage on each exchange, • Maintains advanced knowledge and awareness of financial industry status and trends., • May represent the Bank in various community, civic, and community reinvestment functions to further enhance the Bank's image and develop additional business., • Reinforces the application of superior customer service through his or her own example along with appropriate follow through with involved customers and employees., • Operates computer terminal or personal computer to obtain and process data., • Answers telephone, answer questions and directs callers to proper Bank personnel., • Treats people with respect; keeps commitments; Inspires the trust of others; works ethically and with integrity; upholds organizational values; accepts responsibility for own actions., • Follows policies and procedures; completes administrative tasks correctly and on time; supports the Bank's goals and values; benefits the bank through outside activities. The position of 1031 Operations Officer provides basic supervision of 1 or more employees, supervising the 1031 Department functions and normally carries out supervisory responsibilities in accordance with the Bank's policies and applicable laws. Desired Qualifications • Strong understanding of business banking operations, including terminology, products and services., • Working knowledge of state and federal banking compliance regulation and internal banking operations policies., • Familiarity with 1031 exchange transactions, escrow processes, and real estate documentation preferred, • Excellent oral and written communication skills, with the ability to clearly convey information to clients, colleagues, and management. Be able to build trust and maintain professional relationships with clients, vendors, and internal partners., • Solid mathematical and analytical skills, including the ability to calculate interest, reconcile balances, and identify and correct routine errors, • Demonstrated ability to manage multiple priorities, meet deadlines, and maintain a high level of organization and attention to detail., • Self-motivated, with a strong sense of accountability and initiative., • Proven ability to adapt to changing business needs and adjust strategies to achieve organizational goals., • Demonstrates persistence, consistency, and tenacity in pursuing business process improvement opportunities., • Strong awareness of market trends and competitive environment, with the ability to identify potential risks and opportunities., • Proven experience managing operational function and supporting client transactions in a professional office setting., • Real Estate, Law, Business, Accounting or Finance Degree beneficial, • Proficient in Microsoft Office applicationsMinimum Requirements, • Strong leadership skills and management experience, • Project a professional business presence in both appearance and manner., • Strong customer service orientation with a commitment to placing the client first., • Excellent written and verbal communication skills, combined with strong organizational and time management abilities., • Basic computer skills, including the use of word processing and spreadsheet software., • Ability to work independently with minimal supervision while maintaining accuracy and professionalism.
