Role Summary The Staff Accountant maintains the integrity of the companys financial records by performing essential accounting functions, including AR management, multi-state tax compliance, and general ledger maintenance. This role partners directly with department managers and field teams to ensure all transactions are recorded accurately and in compliance with GAAP. This position is responsible for building repeatable, disciplined accounting processes that support the companys operational and growth objectives. The Staff Accountant is directly accountable for the accuracy, timeliness, and completeness of the financial data within their scope of responsibility. Core Accountability The Staff Accountant is directly accountable for: • AR Integrity: Timely invoicing and active collection of outstanding balances., • Tax Compliance: Accurate filing of Sales Tax returns across multiple state jurisdictions., • Close Precision: Completion of month-end journal entries, accruals, and supporting schedules., • Data Reliability: Precision in general ledger entries and account reconciliations., • Process Efficiency: Implementation of initiatives to enhance accounting department workflows., • Stakeholder Communication: Effective financial coordination between field operations and executive leadership. Execution Responsibilities • Accounts Receivable: Manage AR billing and collections, ensuring timely invoicing and proactive follow-up on outstanding balances., • Tax Compliance: Prepare and file Sales Tax returns across multiple states, ensuring strict adherence to varying state regulations and deadlines., • Month-End Close: Assist with the month-end close process, including the preparation of journal entries, accruals, and detailed supporting schedules., • General Ledger: Maintain and reconcile General Ledger accounts to ensure the accuracy and completeness of all financial records., • Process Improvement: Support and implement efficiency initiatives within the accounting department to enhance accuracy and reduce manual workflows., • Systems Management: Maintain data integrity within construction ERP systems and auxiliary financial platforms., • Project Support: Partner with project teams to verify budget alignment and assist with job costing analysis as needed., • Audit Readiness: Prepare schedules and provide documentation for annual audits or tax preparation. Required Experience & Qualifications • Education: Bachelors degree in accounting, finance, or a related field., • Experience: 25 years of progressive accounting experience; Construction industry experience is highly preferred., • Technical Skills: Proficiency in Microsoft Excel (specifically Pivot Tables and VLOOKUPs)., • Software: Experience with construction ERP software (e.g. Procore, Viewpoint Vista, Timberline/Sage 300, or Foundation) is a major plus., • Analytical Ability: Demonstrated success in identifying errors and resolving complex account discrepancies., • Compliance: Working knowledge of multi-state sales tax regulations and GAAP. Professional Discipline • Data-driven mindset with a focus on financial precision and auditability., • Ability to manage multiple reporting deadlines with shifting project priorities., • Knowledge of federal, state, and local employment and construction regulations., • Progress toward CPA or CMA certification is a plus. Measures of Success • AR Aging: Reduction in days sales outstanding (DSO) and timely billing cycles., • Tax Accuracy: Zero penalties or late fees for multi-state sales tax filings., • Close Timeline: Timely completion of month-end tasks and reconciliations., • Data Integrity: Minimal post-close adjustments or ledger errors., • Workflow Impact: Successful implementation of at least one process improvement initiative per year. Working Conditions • Office environment with periodic interaction with field-based personnel., • Extended hours may be required based on month-end close or tax filing deadlines.
