Job Description Centerforce 5204 Solberg Dr. SW Lakewood, WA, 98499 Job Title: Administrative CoordinatorFLSA Status: HourlySupervisor's Title: Director of Finance & Admin Dept: Administration Summary: The Administrative Coordinator position is designed to provide administrative support to the Executive Director which would include general admin and office tasks, accounting assistance such as AR/AP filing, data entry of accounts payable, record checks in log and invoice DVR/IL. This individual would also provide HR duties to include recruitment, posting positions, onboarding, setting up files and other duties set forth below. Essential Duties and Responsibilities: Includes the following and other duties may be assigned. • Uphold and honor the Mission, Vision and Core Values of Centerforce., • Provide the highest quality of service to all customers and staff associated with Centerforce., • Responsible for opening (8:00 am) and closing the office (4:00 pm) and being the onsite contact for staff., • Assist with new employee recruitment, scheduling of interviews, hiring, initial agency orientation, onboarding and orientation. Assure all required paperwork is completed, employee personnel file development, as well as to manage databases for personnel files to ensure compliance., • Manage database for employee information, including attendance records., • Maintain isolved employee time and workforce management and information system., • Provide administrative support to the Senior Management Team with activities such as typing, filing, mailing, database management, managing compliance, and record keeping., • Monitor the receptionist desk for customers/visitors, mail/postage (take outgoing mail to mailbox at the end of the day), process incoming mail and distribute to correct persons, deliveries and order office supplies as requested., • Serve as contact person for copier and technology contracts., • Complete charitable solicitations, gambling license, SAM's business license reports/licensing annually., • Assist with year-end audit tasks as requested by our independent audit firm to include County, L & I, CARF, and other site reviews as assigned., • Assist with county site reviews and CARF accreditation preparation., • Coordinate all staff meetings & training sessions., • Serve as Health & Safety Committee Coordinator to include, but not limited to:, • Coordinate & document Safety Committee meetings, • CARF requirements for inspections, • Maintain an employee bulletin board with labor posters, etc., • Coordinate drills to include documentation & record keeping., • Manage L & I and unemployment claims., • Ensure OSHA log is posted and current., • Review and update position descriptions when new positions are recruited for and annually for ongoing positions., • Manage Compli system:, • Create new employees, • Ensure all current training and policies are uploaded in the system, • Maintain documentation and record of employee training, • Work with benefits coordinator:, • Coordinate employee meetings., • Enrollment & renewal, • Ensure all forms are completed and current, including waiver forms., • Coordinate the employee climate survey annually in March, • Process paperwork for recruitment bonuses, cell phone stipends, reimbursements etc., • Assure all direct service staff complete all required training and track (LMS, DVR, CPR/First Aid training). Send notifications when updates are needed. Maintain documentation of training., • Employee recognition including, but not limited to:, • Birthday/anniversary cards, • Kudos cards, per management direction, • Conduct misc. errands, assist with marketing, fundraising, coordinate special events for the organization as requested., • Assist with Accounts Payable, as needed., • Maintain/manage key log and key distribution., • Perform related duties as assigned or as the situation dictates. Required Competencies: • Ability to read, alphabetize and file., • Ability to read and interpret documents such as policies, safety rules, and procedure manuals., • Ability to write accurate and professional reports and correspondence., • Ability to use computer programs such as Microsoft Office products to include using the programs for task management, arranging meetings, and recurring reminders., • Ability to add, subtract, multiply and divide using whole numbers, fractions and decimals., • Good customer service skills and knowledge of quality customer service principles., • Ability to communicate and work effectively with administrative personnel, managers, coworkers, clients and external customers., • Demonstrated ability to follow up and follow through with assignments in a timely and accurate manner., • Ability to prioritize work and meet deadlines., • Decision making, problem solving, and planning skills., • Ability to work a flexible schedule when needed., • Valid driver's license, dependable vehicle and vehicle insurance. Education and Experience: At a minimum, this individual needs a high school diploma, GED and a minimum of two years paid work experience in an office setting with general office tasks and increasing responsibilities. This individual must also excel in the use of computers and have great communication skills to include proven customer service skills. Additionally, college coursework or certifications in business, or administrative assisting is strongly preferred.
