POSITION OVERVIEW The People Operations & Volunteer Compliance Coordinator plays a key role in maintaining BGCP's commitment to safety, regulatory integrity, and operational excellence across both volunteer and employee systems. This role supports two primary functional areas: managing compliance requirements for volunteers and external partners, and providing operational and administrative support across core People Operations processes. Success in this role requires strong judgment, exceptional organization, confidentiality, and a systems-focused mindset to support scalable processes that create a positive experience for volunteers and staff. The People Operations & Volunteer Compliance Coordinator collaborates closely with the People Team, Volunteer Team, and cross-department partners, reporting to the Senior Director of People Operations, with a secondary dotted-line partnership to the Senior Director of Community Engagement. ROLE & RESPONSIBILITIES Volunteer Compliance • Maintain accurate tracking systems and records for volunteer and partner compliance requirements including background checks, TB documentation, and required trainings, • Ensure compliance with CA law, BGCA standards, and BGCP policies, and maintain ongoing adherence through regular audits and updates, • Conduct regular audits of volunteer documentation and compliance status in partnership with the Volunteer Team, • Monitor regulatory updates and recommend process improvements, • Develop resources and visual guides to strengthen understanding of compliance requirements, • Support facilitation of volunteer compliance training and orientation sessions, both in-person and virtual, • Respond to compliance-related inquiries from volunteers, staff, and external partners, • Support the creation, maintenance, and refinement of reports, dashboards, and analyses that inform internal communication and data-driven decision-making, • Maintain secure and organized documentation systems, • Continuously improve compliance workflows based on feedback and trends People Operations Support • Assist with compliance requirements for the state of California and BGCP, and membership requirements for BGCA, • Support with best practices for data entry, system updates, and regular audits to guarantee data consistency, • Provide timely support to staff regarding HR policies, systems, and procedures, • Assist with HRIS data entry and system updates, ensuring accuracy and confidentiality, • Help prepare and maintain reports and documentation for audits, compliance checks, and internal reviews, ensuring adherence to labor laws and organizational policies, • Support employee engagement initiatives such as staff events and recognition programs, • Support People Operations processes across onboarding, offboarding, benefits administration, performance management, retention reporting, audits, and compliance documentation, • Act as a resource for employees, providing timely and professional responses to HR-related questions Communication & Collaboration • Collaborate closely with the Volunteer Team and People Team to ensure alignment and continuity across processes, • Build and maintain strong relationships with volunteers, staff, internal partners, and external partners to enhance volunteer engagement, ensure compliance alignment, and foster collaborative partnerships, • Navigate the unique dynamics of engaging with key donors, delivering a personalized, high-touch experience and ensuring exceptional support and timely follow-up for volunteers throughout the process, • Identify and recommend process improvements to operational workflows and procedures, • Support strong communication and proactive problem-solving to enhance engagement and ensure operational success *Perform additional relevant duties as assigned to support evolving organizational needs. This role supports both volunteer compliance and people operations, with time allocation shifting based on seasonal needs, priorities, and organizational demands. QUALIFICATIONS • Bachelor's degree or equivalent relevant work experience, • 3+ years of experience in compliance, people operations, HR, volunteer coordination, or related fields, • Familiarity with HR processes and compliance management tools, or the ability to quickly learn these platforms, • Ability to manage complex systems and processes with exceptional attention to detail, strong organizational skills, and a data-driven approach to tracking, analyzing, and improving workflows, • Excellent verbal and written communication skills, with the ability to engage effectively in person and online, • Ability to handle sensitive and confidential information with discretion, • Customer service orientation and ability to work independently and collaboratively, • Flexible and adaptable to changing priorities, with the ability to take initiative and respond proactively, • Salesforce and/or TriNet experience a plus The ideal candidate is proactive, solution-oriented, and demonstrates resilience when navigating challenges. PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT This role primarily involves approximately 80% sitting and 20% walking or standing, with occasional physical activity such as lifting, carrying, pushing, or pulling. It may also involve occasional stooping, kneeling, bending at the waist, reaching overhead, crouching, squatting, or crawling, as well as fine finger dexterity for detailed work. The position may occasionally require handling objects weighing up to 25 pounds. All requirements are subject to reasonable accommodations. LOCATION & SCHEDULE Generally, Monday - Friday from 9 AM to 5 PM, however, flexibility is required to align with the organization's needs. This position offers a hybrid work arrangement, combining both in-office and remote work. You are expected to adhere to the following schedule: • In-Office Days: Mondays and the designated onboarding day, typically Tuesdays (occasionally Thursdays, depending on scheduling), • Remote Work: Wednesdays, Thursdays, and Fridays are set aside for remote work; however, if Thursday is an onboarding day, remote work may shift to Tuesday instead, • Employment Status: Full-Time, Non-Exempt, • Pay Rate: $25-$35/hour, depending on experience (DOE), • Health Benefits:, • You are entitled to company-provided medical, dental, and vision benefits as well as life and long-term disability insurance paid at 100% by BGCP with additional buy up options beginning on your start date, • Retirement Benefits: You will be able to participate in our 401(k) retirement plan after ninety days of employment, • Comprehensive Paid Time-Off Policy, along with additional benefits, • Sick Time: Employees are frontloaded 40 hours of paid sick time upon hire, • Contributing to a thriving community for youth growth: Beyond measure As part of the hiring process, BGCP requires candidates to complete a LiveScan fingerprinting, background check, tuberculosis (TB) evaluation or test.
