Job DescriptionSalary: $22.00 - $27.00 hourly DOE Position Title: Administrative Coordinator Reports to: Project Development Manager Position Location: Fayetteville, GA Summary/Objective: The Administrative Coordinator provides comprehensive administrative, clerical, and operational support to help maintain the efficient day-to-day operations of Cool Runnings International (CRI) while assisting with management of project initiatives. This role requires a highly organized, detail-oriented professional who thrives in a fast-paced environment and demonstrates strong communication, problem-solving, and organizational skills. The Administrative Coordinator prepares reports, manages and analyzes data, maintains project files, and assists with meeting deadlines while leveraging advanced proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook. Responsibilities also include professional interaction with callers and visitors, operation of general office equipment, identification and support of process improvement opportunities, and collaboration across teams. A high level of initiative, ethical conduct, and professionalism is essential, with bilingual proficiency in Spanish preferred. This position is responsible for fostering a collaborative and cooperative environment with team members and other departments to provide the highest quality service standards. A critical component of the job is to actively communicate accurate information in all aspects.TheAdministrative Coordinatoris responsible for representing Cool Runnings International (CRI), Cool Runnings North America (CRNA) to its customers, employees and contracted laborers on virtually any range of subjects related to the project, and for making solid, informational based decisions on behalf of Cool Runnings International. Responsibilities: Communication • Professionally managing phone calls, emails, and correspondence with employees, clients, technicians, contractors, and vendors., • Issue Purchase Orders (POs) as requested and track vendor delivery progress, maintaining clear communication with the Materials and Logistics Teams regarding delivery status., • Foster an open, positive environment of communication and teamwork within CRI to proactively resolve issues and successfully execute responsibilities., • Maintain consistent and effective communication with internal and external customers to ensure timely documentation, coordination, and follow-through., • Maintain relationships through proactive, positive communication and by recognizing and delivering on company expectations. Administrative Support • Perform daily administrative duties, including maintaining organized records, databases, and documentation., • Process warranty claims accurately and efficiently., • Prepare, edit, and support proposal documents for the Project Development team., • Process part order requests, quotes, orders, and deliveries., • Conduct research and data analysis, translating complex information into clear, concise formats for distribution., • Provide customer service and administrative support to all CRI team members as needed., • Demonstrate flexibility and willingness to learn new methods and skills in response to changing priorities. Record Keeping • Maintain organized digital filing systems to ensure accurate record retention and easy access to information., • Ensure documents are accurate, up to date, and properly uploaded to the CRI online storage system., • Perform data entry, quality assurance, and document control to support project accuracy and reporting needs. Ambassador of Cool Runnings • Develop and maintain a comprehensive understanding of CRI processes to support smooth transitions between all phases of project completion., • Represent CRI professionally through ethical conduct, collaboration, and positive engagement with internal teams and external partners., • Prioritize multiple tasks while maintaining exceptional attention to detail and a commitment to company standards., • Assist in enhancing, developing, and implementing organizational policies and procedures to improve project efficiency and operational effectiveness. Schedule Management • Assist Project Developers with daily administrative tasks to maintain project schedules aligned with established deadlines., • Regularly review project schedules and update databases to reflect changes or adjustments., • Prioritize responsibilities and assist team members according to evolving business and project needs. Additional Responsibilities • Perform other duties and responsibilities as assigned to support CRI operations and project success.
